Rooms & Reservations Coordinator | Waldorf Astoria Dubai Palm Jumeirah

The Rooms and Reservations Coordinator is responsible for ensuring seamless reservation and room allocation processes to deliver a luxurious guest experience. You will support the Rooms Division & Reservations department in managing daily operations, delivering exceptional service, and embodying the hotel’s luxury standards. Your role will require excellent organizational skills and a passion for creating outstanding guest experiences.

What will I be doing?

\n

The Rooms and Reservations Coordinator will work closely Rooms Division & Reservations team. Specifically, you will be responsible for performing the following tasks to the highest standards:

\n\nProvides administrative support to the Rooms Division & Reservations department. \nMonitors all Front Office/Reservations related orders and ensures guest supplies are maintained at stock level or if needed, expedited delivery.\nEnsures all new joiners receive fully functional access and tools. \nPrepare and submit the Front Office/Reservation’s payroll in a timely manner.\nMaintains current, accurate knowledge of Forbes standards and ensures the communication to the guest is courteous and personal. \nBe the liaison between Front Office/Reservations and other departments \nMonitor Out of Order/Out of Service rooms and coordinate with the concerned teams \nMonitor the Personal Concierge & Reception emails and action accordingly \nEnsure compliance with financial systems \nSchedule Personal Assistance colleagues as per operational demands \nEnsure group rooming lists are correctly entered into the Property Management System \nMonitor the Reservations/Personal Assistance departments’ workload and prioritize tasks \nWork with the Reservations team to manage group bookings and VIP arrivals. \nCoordinate and assign rooms to guests based on availability and guest preferences.\nMonitor room inventory daily to ensure accurate tracking and maximize occupancy. \nManage special requests such as adjoining rooms, specific views, or room configurations. \nComparing inventory with Opera and R&I and alert Reservations and Rooms Controllers on any discrepancy. \nAssist with operations when needed\n

\n\n3-5 years in a reservation sales environment or related hospitality discipline required\nExcellent analytical, problem solving, multi tasking, organizational and administrative skills\nExcellent communication (verbal and written), interpersonal and team management/development skills\nProven report writing and presentation skills\nAble to work efficiently, independently and cohesively, producing quality results within strict deadlines, in a multi cultural environment\nWorking knowledge of Opera Reservations and Property Manager or equivalent system\nProficient with Microsoft Windows applications in particular MS Word, Excel and Outlook required\n\n
