About this RoleThe Safety Associate provides essential administrative and system management support for the SH&E department at the corporate office. This role is responsible for overseeing safety-related programs, maintaining departmental inventory, coordinating training and meetings, managing internal communications, and supporting safety initiatives. The ideal candidate is organized, detail-oriented, and able to balance multiple priorities effectively.
What You'll Do Manage inventory of training materials and resources through Quanta’s third-party supplier, ensuring availability for operating companies, troubleshooting issues, and maintaining stock levels to support ongoing needs.Oversee the Safety Commitment Coin Program by managing submissions, coordinating packaging and delivery, and promoting participation across operating companies.Conduct the safety section of Quanta’s New Hire Orientation to introduce new employees to the company’s core safety values, corporate safety requirements, and ensure materials are up to date.Develop and manage employee feedback surveys, tracking responses to help the SH&E team improve safety initiatives and training programs.Handle outgoing shipments from the SH&E department, including promotional materials and training resources, ensuring accurate and timely delivery using FedEx or other services.Conduct monthly inspections of the corporate office to ensure safety compliance, maintain first-aid supplies, and address any identified issues.Track and manage department inventory, including PPE, branded items, and promotional materials, to ensure employees and clients have access to necessary supplies.Coordinate the logistics of SH&E department meetings and training sessions, including booking instructors, reserving rooms, preparing materials, and arranging meals.Collaborate with the Marketing team to create and distribute promotional materials, giveaways, and logoed items to employees, clients, and operating companies.Manage the SH&E SharePoint site by maintaining content, overseeing document control processes, and troubleshooting issues to ensure an effective resource for the team.Develop and distribute the PWR Pulse monthly safety newsletter, collaborating with leadership to share best practices, safety achievements, and important updates with operating companies.Provide administrative support for the PWR Up - Safety Professional Development Program, managing new hire supplies, compiling presentation materials, and tracking participant progress.Creates and receives Purchase Orders via JD Edwards. Communicates with Accounting to ensure timely payments.Assists with storm-related activities and provides a corporate support function for meetings, supplies etc.Performs other duties as assigned. What You'll Bring Skills and QualificationsProficiency in managing administrative tasks, including inventory oversight, scheduling, and document control.Strong computer skills, including experience with Microsoft Office Suite (Word, Excel, PowerPoint) and SharePoint site management.Ability to create and maintain professional documents, reports, and presentations with a high level of accuracy and attention to detail.Experience managing internal communications, including newsletters and employee feedback surveys.Ability to coordinate meetings and events, including booking instructors, arranging meals, and preparing materials.Familiarity with shipping processes (e.g., FedEx) and managing departmental inventory of PPE, promotional materials, and safety supplies.Strong organizational and time management skills, with the ability to handle multiple tasks and priorities simultaneously.Knowledge of safety programs and a general understanding of SH&E principles is preferred but not required.Education and ExperienceRequired:
High school diploma or GED.Minimum of 2-3 years of administrative experience, preferably in a safety-related or corporate environment.Preferred:
Associate’s or Bachelor’s degree in Business Administration, Safety Management, or a related field.Previous experience in a corporate safety or SH&E department is a plus.
