The Sales Administrator is responsible for assisting the sales team in preparing and managing proposals, ensuring timely and accurate submission to customers. This role involves coordinating with various departments to gather necessary information and support the sales process.
We are looking for a person with 3 – 4 years of experience in similar filed of business in Water Quality, Thailand which our business is related to sell and distributes analytical instruments and reagents used to test the quality of water and other liquid solutions.
Duties and responsibilities
Prepare on-time offers for different types of opportunities – government / municipal, industrial, service, etc.Reply to queries from customers on offersBridge between customer/field sales team / inside sales team/service team and supply chainSupport sales and service teams between ‘order to remittance (delivery)’ process in managing customer relationshipsPrepare and close approvals for order bookings – quotation preparation, proposed discounting, and final approvals as neededSupport Customer Service teams as neededCollect data and consolidate information from Salesforce.comDrive daily management / visual management rhythms for the quote-to-book processSupport and/or lead relevant continuous improvement initiatives from time to timeDeliver key outputs within relevant service levelsPrepare documents related to bidding, such as filling out the quotation form specified by the customer, product specifications Including supporting documents for submitting bidding inquiries.Prepare sales support documents assigned by sales/Service team such as power of attorney (POA), request management’s signature for receiving Customer's PO/Sales or Service Contract.Coordinate with both Government and Private customers regarding the process of signing purchase and sales/service contracts, follow up to make appointments for signing sales contracts, follow up on copies of sales contracts and keep said documents safely.Request Bank Guarantee (BG) that will be used for signing a sales/service contract, follow up with the customer until receive Expired BG and return to Finance department.Sign acknowledgment of purchase orders (PO) from customers, verify correctness and prepare complete information before forwarding PO to CS for order booking.Fill up Vendor Registration Form requested by customers, consolidate general information, request specific information with relevant parties.
Qualifications
Skills & Competencies
3-4 years of experience in Sales Administration/ Sales and Service / Proposal writing / Customer Support
Minimum bachelor’s degree graduation which preferrable graduated in Chemical, Chemistry or instrument
Expertise in Microsoft Office, especially in Excel (required)
Experience in preparing technical offers/bids/quotations (required)
Experience in using Oracle Order Management functions (preferred)
Experience in using CRM tools and customer management (preferred)
