Job Description
Job purpose:
Responsible for managing various administrative functions within Immunology department. Provides general administrative support to the team. May provide back up support to higher-level management as needed. Ability to communicate effectively with internal and external stakeholders, including executives, clients, and team members. This role involves supporting team members, ensuring compliance/operate within AbbVie business code of conduct, policies and all applicable laws and regulations and handling sensitive information.
Responsibilities:
Organize the logistics of internal and/or external meetings (search for locations, select several locations, choose the most suitable, reserve meeting rooms, organize meal breaks, reception and transfers if applicable) in compliance with the policies and procedures in force. Help coordinate and organize team seminars/events: preparation of agendas, writing and distribution of reports, logistics management, etc.Monitor/track budgets and service providers, etc.; processing expense reports provides support and guidance to projects from procurement to implementation (collection of offers and ordering of promotional materials, air tickets, articles, books, land transport, representation, etc.); Inputs documentation and costs in ConcurOrders business cards, stationery and other office and break room suppliesAnswering phones, managing correspondence and scheduling couriers, handling teleconference and mobile-device setups, acting as a liaison for remote access issues.Creates and maintains a calendar of events for department and updates itPrepares contracts for doctors, hospitals and other organizations and ensure the follow upManager of the MAP for the countryCoordinates new employee office set-ups, welcoming and onboardingCoordinates and maintains departmental files, as assigned, in compliance with corporate and government regulationsCollects, maintains and monitors data (including indicators) on various projects and reports on them in a timely manner. Create or modify business documents, preparing presentations from source materialsOrganizes the warehouse, keeps records of stocks and inventory (if applicable)Responsible for compliance with applicable Corporate and Divisional Policies and procedures. Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable)Read, validate and implement all procedures relating to your business, via Compliance Wire or any other dedicated interfaceTake charge of monitoring certain specific files as well as the preparation of associated presentation materialsQualifications
Minimum of 3 years of experience in a similar role, preferably in a Pharmaceutical Or Healthcare IndustryStrong organizational skills and ability to manage multiple tasks and prioritiesExcellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organizationProficient In Microsoft Office Suite and other relevant Software ProgramsBachelor's Degree In Business Administration Or Related Field PreferredGood command of English and local languageAbility to adapt and navigate a dynamic environmentTeam spirit, a positive attitude
