At Great Wolf the Sales and Catering Coordinator provides support to clients and Lodge sales teams to enable successful achievement of revenue, quality and repeat business targets.
Essential Duties & Responsibilities
Complete administrative tasks supporting all group sales efforts as assigned by the DOSC director of sales and catering including but not limited to: preparing sales kits, documenting prospective accounts, organizing files, preparing contracts, preparation of invoices, purchasing of office supplies and data entryComplete Banquet Event Orders (BEOs) and Resumes for clients and operations departments to communicate specific needs, contracted/agreed-upon details and pricing for the meeting, event or programEnter accurate rooming lists, routing information, tax-exempt status and verification of payment in Company software systemsMonitor room blocks and communicate with appropriate property personnel on a weekly basis regarding group room pick-ups, rooming lists, etc.Represent the lodge in investigating and resolving any group complaints or conflicts including, but not limited to: billing issues, misplaced items, reservations and contract discrepanciesOrganizes and coordinates client appreciation and in-house lodge eventsProvide detailed information on meeting-specific needs throughout the entire booking process from negotiation through departureAttends pre and post conference meetings as neededHandles all in-suite VIP packages and amenities as neededMaintain Posting Master (PM) account ledger by keeping track of all open PM accountsAssists Sales Team with any special projects.Basic Qualifications & Skills
Associates degree in hotel/hospitality or related field or equivalent experience/education combinationDemonstrated proficiency in Microsoft Office SuiteSuccessful completion of criminal background check and drug screenProfessional communication skills both verbal and writtenDesired Qualifications & Traits
