Reports directly to Sales Director. High school diploma or equivalent. Previous Hospitality experience required. Literate in English. Must have effective written and oral communication skills. Must have effective leadership and organizational skills. Telephone and 10-key skills. Word processing software skills and typing speed of 40 wpm. Must be able to walk long distances, lift up to 20 lbs., climb stairs and reach 5 foot filing cabinets.
Duties to include, but not limited to:
Follow up on scheduled functions for: tentative contracts are signed and returned, deposits due, rooming lists returned, complaints (in a timely manner), group blocking daily, rooming lists entered in computer Participate in group welcome/orientation. Process group resumes Complete group checklist. Check meeting room set-ups are correct/greet clients Set-up AV needed in hotel meeting rooms BEO Pack distribution, put together BEO’s and floor plans Coordinate BEO meeting weekly Print daily events posting for front desk Cover front desk lunch break Process contract revisions and cancellations. Update Sales Managers on group status. Complete Monthly competition surveys. Assign rooms for groups on a monthly basis. Assist Sales Managers with following market segments: D.I.A groups, SMERFE business, any special packages Coordinate group arrivals with Front Desk Invoice preparation Telemarket existing accounts if needed. Meet groups if Sales Manager is unable to do so Prepare coupons for group arrivals. Log group bookings in G.R.C. and update as needed. Scan and send folios of charges to contacts Scan and send folios to individual guests when asked by front desk Handle group bookings in absence of Sales Manager Track group room nights for End of Month reports. Assist the Sales Director, Sales Managers with any special projects whenever required. Travel to promote hotel in all market segments. Conduct property tours when necessary. Assist in checking group/contract inventories between sales/reservations. Assume Sales Secretary duties in absence of Secretary Back up Sales Secretary with telephone and other duties as needed.
