Overview

We are seeking a highly motivated and organized Sales Coordinator to join our team! As a Sales Coordinator, you will be responsible for supporting the sales team in achieving revenue goals and providing exceptional customer service to clients. Specific requirements include the ability to effectively communicate with guests in a friendly and positive manner, the ability to meet/exceed client needs and resolve complaints. This is a dynamic role that requires strong communication skills, attention to detail, and the ability to work effectively in a fast-paced environment. Responsibilities PERFORMANCE STANDARDS CUSTOMER SERVICE: Meet service quality standards that affect guest satisfaction; respond to guest questions or problems in a timely, professional manner. WORK HABITS: Meet the hotel standards for work procedures, dress, grooming, attendance, and punctuality; report to work and return from breaks on time; give advance notice when absence is anticipated; require typical amount of supervision; accept work assignments without complaints. PERSONAL DEVELOPMENT: Accept opportunities to learn new skills, improve performance or cross-train for other hotel positions; solve routine problems that occur on the job; ask questions when not sure how to complete something; learn new skills as quickly as most others in the same job. SAFETY AND SECURITY: Follow the hotel’s recommended safety, security and emergency procedures; follows hotel procedures for key control, lifting heavy objects and/or using chemicals; reports potential security risks and hazardous conditions to management. ADMINISTRATION: Maintain accurate records, trace files, sales activity reports, contracts, etc.; frequently produce memos and reports that are effective, appropriate for the audience, and grammatically and technically accurate; effectively handle guests, owners and clients on the phone by

ESSENTIAL FUNCTIONS 

Constantly. Answer and direct all service/sales/catering phone calls and greet visitors. Constantly. Maintain work areas neat and organized. Constantly. Maintain a good working relationship with other departments, employees and guests. Constantly. Prepare room blocks, proposals, confirmations, thank-you letters, cover sheets, function sheets, rooming lists. Order pre-paid return reservation cards and V.I.P. amenities, as well as make room reservations. Constantly. Report all unsafe conditions immediately. Frequently. Become familiar with all phases of the filing system. Frequently. Handle all correspondence to the Director of Sales and other assigned Sales Managers. Frequently. Transcribe dictated letters, memos, etc. Prepare graphs, charts, statistical research and budget information. Occasionally. Attend mandatory meetings as assigned. Occasionally. Collect and complete report for market share analysis. Occasionally. Complete other duties as assigned by supervisor to include cross training. Occasionally. Daily updates and reports from maintaining future booking logs. Occasionally. Distribute contracts, memos, to assigned individuals. Occasionally. Log and maintain file on documents such as reader board, surveys, pre-cons, celebration letters. Occasionally. Maintain a file of competitive studies of local hotel rates and update periodically as demand requires. Occasionally. Maintain Director of Sales and Sales staff reader files on a monthly basis. Occasionally. Maintain files on promotions, advertising, all Sales Department invoices, room night revenue forms and leads. Occasionally. Order office supplies. Occasionally. Responsible for computation for the month-end reports.
