Principle Responsibilities & Position Purpose:
Act as a support staff to the Sales and Marketing Department. Will be responsible for filing, answering phones, typing and general office duties.
ESSENTIAL FUNCTIONS
+ Distribute contracts, memos, reports, changes, and revisions.
+ Copy correspondence or other printed matter.
+ Route incoming mail, faxes, and packages.
+ Prepare confirmations, thank-you letters, cover sheets, functions information sheets, rooming lists, etc.
+ Check and remove all information from Sales Managers out-baskets and keep an update.
+ Use the intercom/voicemail system to announce appointments and calls
+ Handle and direct all incoming phone calls.
+ Handle and type all correspondence.
+ Greet guests and direct them to appropriate parties.
SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by management based upon the particular requirements of the company.
+ Follow through on all groups coming into the hotel.
+ Maintain a file system the Managers on a monthly basis.
+ Prepare detailed group histories for groups that are considering the hotel.
+ Maintain office supply orders and par levels.
+ Complete other duties as assigned by supervisor to include cross training.
+ Report all unsafe conditions immediately.
+ Attend all mandatory meetings.
+ Follow and know emergency procedures as needed.
+ Keep work area clean and organized.
+ Maintain a good working relationship with other departments, employees, and guests.
OTHER DUTIES
Assimilate into The AT&T Hotel & Conference Center, the Family PLATINUM SERVICE culture through understanding, supporting and participating in all elements of PLATINUM SERVICE. Demonstrate working knowledge of the service standards.
Regular attendance in conformance with the standards, which may be established by Flik from time to time, is essential to the successful performance of this position.

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
+ Ability to arrive to work on time and when scheduled.
+ Excellent communication skills, both written and verbal.
+ Must possess necessary management skills to include problem solving, decision-making, leadership, organization, planning, initiative, enthusiastic attitude towards customer service and a commitment to a team environment.
+ Be flexible concerning scheduling needs and requirements.
+ Basic Property product knowledge, i.e., staffing, operations, safety, security, union rules, structural, terminology, fire, police and health codes, hotel policies, city ordinances.
+ Basic knowledge of the property structure/layout and how all departments interact.
+ Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts.
+ Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, Outlook, Delphi, Market Vision, Internet and Intranet.
+ Ability to read, write and speak the English language to fully comprehend guest requests, memos, proposals, general correspondence and similar written materials.
+ Possess a good conceptual understanding of electronic devices and the ability to operate such items as copy machines, slide projectors, microphones, computers, portable radios, pagers, etc.
+ Ability to complete a contract in compliance with all checklists, standards and property policies.
+ Interpersonal skills to provide overall guest satisfaction.
QUALIFICATION STANDARDS
EDUCATION
High School graduate or equivalent required
At least 2 years college (associate) degree preferred
4 year college degree preferred
EXPERIENCE LICENSES OR CERTIFICATES
Must have 1 year previous hotel or administrative experience
