Job Summary
This position, reporting to the Sr. Director of Field Enablement, manages all aspects of medium to high complexity events including planning, estimating, scheduling, logistics coordination, and vendor management for over 800+ Field Employees across the Growth and Customer Experience orgs.
The individual in this role should also have a passion for and experience with corporate event management, someone who provides outstanding customer service, is an enthusiastic professional who is comfortable representing Omnicell to external vendors, negotiate agreements which significant cost implications, and is able to build relationships with internal and external customers. Collaborates within all levels of roles in the Growth and Customer Experience teams internally; and manages the relationships with external vendors and venue leadership for event coordination.
Responsibilities
Manage day-to-day administrative tasks for the Sales Enablement team, including calendar management, meeting coordination, travel arrangements, and maintaining internal documentation. Obtains and negotiates estimates for event space, transportation, lodging, and meal associated with medium to large scale Sales and Customer Success enablement events. Conduct research, make site visits, and find resources to help staff make decisions about event possibilities. Responsible for all aspects of planning an event for the organization. Oversee our meeting registration software to manage participant registration, confirmations, and follow-up communications, ensuring all sessions are well-attended and efficiently organized. Responsible for amenities and accommodations at the event as well as any associated contract negotiations Develops response to task plan requests, including budget and schedule. Coordinates with Sales Enablement Leaders on site selection, room setup, audio-visual equipment and operators, registration for participants, as well as for the development and support of requirements of event databases and web pages Plans the development of agendas, invitations to speakers, calls for papers, mailings. Provides guidance on establishing registration fees, advance fee collection (when applicable). Generates reports, handles multiple projects, and prepares and monitors invoices, expense reports and travel vouchers. May work independently or, if assistance is required, will provide direction to other Event Coordinator(s). Create and revise room layouts for each event. Create on-line schedules and agendas for learning tracks at events Propose new ideas to improve the event planning and implementation process. Assist with managing on-site preparation and clean-up for events as necessary. Prepare post event surveys Coordinate travel and meeting logistics for Customer Executive visits to the corporate office
Basic Qualifications
Bachelor’s degree OR significant work experience in project coordination can substitute for the degree. Minimum 5 years in an Administrative, project coordination or event management role
Preferred Qualifications:
Excellent communication skills, including writing, proof reading skills, and speaking. Excellent organization skills and experience with project management Ability to manage multiple simultaneous projects and work assignments from a variety of staff and volunteers. Excellent interpersonal skills both in person and by phone, with high professionalism. Ability to accomplish projects with little supervision. Superior customer service ethic and high expectations for quality. Proficient using the Web to conduct research, event administration and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint.
