Job Description
Be an ambassador for our exceptional offerings as a Sales Executive (Groups) by proactively generating group leads, managing leads, and liaising between multiple departments to meet the needs, and exceed the expectations, of our clients, while supporting the Assistant Director of Groups. You will analyze market trends and competitor activity for the hotel. The role will also provide administrative support to the finance department, ensuring timely collection of deposits and invoice processing to increase overall billing accuracy and efficiency. To perform any other reasonable task as requested by the Assistant Director of Groups and represent the hotel in accordance with company standards of dress, grooming and hygiene at all times.
Essential Duties and Responsibilities
• Maintain the Hotel Code of Conduct at all times.
• Maintain complete knowledge of and comply with all departmental policies, service procedures and standards.
• Promptly and professionally generate group leads from local & overseas clients as well as respond to incoming group enquiries via phone, email and walk-ins to the hotel, including enquiries as assigned by the Assistant Director of Groups.
• Develop & Own accounts and travel within the local area to drive business to the hotel and increase market share in all revenue streams.
• Accurately identify and define the Group, its purpose, dates, times, function space requirement, expected attendance, flow, budget, client expectations and level of influence and decision-making power of the customer/organization and use these to secure business, focusing on upselling to have incremental revenue.
• Maximise revenue opportunities in all F&B outlets (e.g. increasing average check, upselling additional food and beverage, meeting room rentals).
• Conduct hotel site inspection for clients (on weekends if necessary)
• Maintain constant accurate records in Delphi, including booking activities, contacts, and revenue.
• Plan all experiential details with the client with regards to their Group.
• Prepare and detail Banquet Event Orders & Group resumes and floor plans as necessary, and communicate and work with all departments of the hotel involved in the execution of functions in a timely manner.
• Communicate changes accurately and promptly to the hotel operational teams to ensure no disruption in service within their respective departments or experience to the client.
• Manage invoicing and collection of all deposits based on Group contract and final account.
• Develop client relationships to actively negotiate and generate repeated groups business.
• Attend BEO and Group resume meetings.
• Conduct pre and post communication meetings.
• Create deposit schedule in Delphi according to contract & maintain payment history to ensure accuracy.
• Create PMs for all definite bookings and process all subsequent deposits following initial and send receipts to client.
• Act in liaison with Finance on Group Billing issues.
• Daily review of Micros checks post-event to ensure accuracy of proper charges.
• Add consumption per Micros checks to Delphi to balance systems.
• Create a final bill for client including all events, bedrooms, transportation, outlets, miscellaneous charges.
• Process final payments information and assist in collection of payments.
• Create, process, and maintain PO requests.
• Calculate commission-based bedrooms and manage commission tracker.
• Place special orders for Groups i.e. rental orders, special meal plans, and process payments accordingly.
• Support the Assistant Director of Groups with weekly pace report and monthly forecasting.
• Consistently offer professional, sincere, friendly, and engaging service.
• Follow all departmental set standards.
• Maintain high standards of personal appearance and grooming, which include adhering to Rosewood hotels and resorts grooming policy.
• Understand and be knowledgeable of relevant policies (e.g. menu and pricing, food handling, cancellation, guarantee, payment).
• Offer and implement innovative ideas, methods, and procedures to further streamline the department.
• Other reasonable duties as assigned by the Assistant Director of Groups.
• Flexibility to work outside of regular office hours and weekends if required.
