Position
This is a temporary staff position at Voucher Store in Tokyo, Japan.
The casual agreement has 1 year term with the option of renewal when agreed by both parties.
This person will report to Director of Tokyo Office.
This person will work for the daily operation for Voucher Store Japan under the instruction of the responsible person for Voucher Store.
Key Responsibilities
Voucher Store AssistantFollow the instructions from the colleague who is responsible Voucher Store in the office and provide the required supports
Follow the designated process and complete the voucher delivery.
Receive the orders in email and verify the information
Enter the information in MS Access application
Issue the invoice for the orders by MS Access application
Issue the quotation if required
Confirm the payment (bank transfer, credit card, on-credit)
Create the data for approval and issue the voucher by internal system
Deliver the vouchers by using MS Access application
Take the backup data and save it appropriately
Professionally respond to the inquiries about vouchers by email or phone call
Receive the calls for credit card payment and manage the information appropriately
Provide/Receive double check on the voucher operation process when required
Create and submit the required voucher reports on time
Comply to PMS and ISO during the voucher operation procedure
Communicate with the internal stakeholders to resolve any issues or to complete the tasks in Japanese and English as required
Other support workProvide support to the Sales Team for backend tasks when ordered by the reporting manager
All other associated tasks
Ideal candidates for this position are those who;
Bachelor's Degree
Have customer facing experience and can communicate via phone and email without any inconvenience in Japanese.
Communicate in native Japanese. Required communicating internally in English in writing & reading as well.
Have basic understanding of MS Office Applications. Experience of using MS Access application is a strong plus.
Have experience and understanding of both International and Japanese work cultures
Can perform work in accordance to both the company and team policies
Is positive, a team-player, fluid communicator, respectful and has the “can-do” attitude.
Has a professional mindset/attitude/accountability towards work
Can adhere to unobtrusive manner that is appropriate to working professionals
Desirable Experience and Qualifications
Experience in a company with Privacy Mark/ISO management is preferred but not mandatory.
Basic experience in accounting is preferred but not required.
B2B or B2C client/customer facing experience required.
Experience of the order processing and sales operation required.
Working Arrangements
Working hours per day minimum from 9am to 1pm (4 hours a day)
Working days per week Monday thru Friday
Paid by worked hours
Work at Tokyo office.
Remote work is authorized per approval each time
Annual contact with renewal option
