Sales Support Coordinator

About the role: 

The Sales Support Coordinator (SSC) has a critical role within the Sales function for providing generalist administrative and field support to multiple stakeholders Nationwide and will provide support to key stakeholders, including but not limited to field visit scheduling, general administration, outreach, as well as travel & event planning. 

Key Responsibilities

Scheduling

Proactively maintains the database of clients  Manages the communication with clients Schedules field visits for the education team

Reporting

Maintains all Client updates in the database  Maintains a monthly record of sales transactions and ensures that invoicing is completed on time. Liaises with the Finance department and Customer Service to ensure that we meet our requirements. Identify and/or report any discrepancies as detected in the database. Generates and maintains a monthly list of Client samples to be sent out Execute already set up reports.

Medical Marketing

Assist in the coordination of local and national events Liaise with the Field Teams and Marketing to ensure smooth execution of events Organising and Printing presentations for the Medical Team

Communication

Any external communication that may be required will ensure that templated emails are used Assist in initiating new and innovative ways to engage with customers using communication and templated emails

General (Sales) Administration

Provide general sales and administrative support to the Country Field Medical Manager Provide excellent customer service when attending to the front reception area in the Parramatta Office and assisting external visitors Provide general support to complete other tasks when requested by the business as a proactive and positive team member

Local Store Marketing

Conduct monthly store audits to ensure Attune brand guidelines are adhered to, and the store is complying to Attune standards. Assist with the ordering process for all Marketing Material required at a store level.

Travel Administration 

Assist Territory Managers in the field to organise and action travel requirements for as required and in line with Travel Policy.

Supply Chain

Place any internal or external orders required using our internal portal and system

Other Duties

Assist in local event management activities including sourcing and securing venue for Attune sponsored events. Ensure that duties of the role are conducted in an efficient, competent, and diligent manner where assigned KPI’s are met with minimum disruption. 

Experience and Qualifications 

Minimum Year 12 (Secondary) education or Diploma in Administration or similar Experience in a highly administrative role or similar  High proficiency in MS Office and intermediate to advanced skills in Microsoft Excel  Desire to complete tasks on time and with passion Attention to details  At least 2 years’ experience in a multi-site administrative support role within the health industry  Positive ‘can do’ attitude with high energy, drive, and enthusiasm Ability to multi-task without compromising on quality Ability to manage and prioritise competing demands with a customer-focused and outcomes-cantered approach Demonstrated understanding of reporting and review of data
 

About you

At least 2 years’ experience in a multi-site administrative support role within the healthcare industry. Diploma in Administration or similar study (desired). High proficiency using MS Office suite. Competency in using Sales operating system. Demonstrated understanding of reporting and review of analytical data. Excellent written and verbal communication. Good time management skills. Self-motivated and able to work with minimum supervision. Ability to manage and prioritise competing demands with a customer-focused and outcomes-centered approach. Adaptable to a dynamic environment with rapidly changing priorities. Positive ‘can do’ attitude with high energy, drive, and enthusiasm. Ability to multi-task without compromising on quality.
