The Scheduling Assistant is a team member working in a time sensitive and deadline driven environment allocating and scheduling staff in accordance to the unit operational requirements, policies and procedures. Under the direction of the Staffing Services Manager
and the individual department manager, the Scheduling Assistant will book coverage for advance needs, project work, emergencies, workload increases (such as ambulance escorts, patient watch), and short-term/long term leaves. Support the creation of master schedules, review requests, timecards processing, pay reconciliations and investigation of scheduling incidents. The Scheduling Assistant will work closely with their portfolio managers to ensure staffing initiatives are completed. Various duties will also include data entry, filing, and documentation of all calls regarding absence due to sickness or other reasons.
What else do you bring?
Experience with a computerized scheduling program (ESP/Kronos preferred).A minimum of two (2) years of recent experience in scheduling, timekeeping and building of master rotations (healthcare experience preferred)Computer literacy in a Windows environment utilizing Word, Excel, PowerPoint and Outlook.Understanding of Collective Agreements and scheduling rules in a hospital environment.Excellent computer skills and proven communication and problem-solving skills.Good interpersonal and organizational skills, excellent time management skills.Strong customer service skills, telephone etiquette, and display of core values.Proven attendance record.Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.Ability to perform the essential duties of the job.Effectively uses empathy in interactions with others and demonstrates behaviours consistent with Mackenzie Health’s Commitment to Caring.Models behaviour that is aligned with the values of Mackenzie Health – Excellence, Leadership and Empathy.Commitment to providing an exceptional experience for staff and clients within a challenging and exciting health care environment.

University Degree or College Certificate/DiplomaArea of study in Business or Health Administration (preferred).Payroll Certification an asset.Previous experience within the Scheduling Assistant classification.
