SCHEDULING COORDINATOR

PURPOSE:
The Scheduling Coordinator is responsible for coordinating and managing residential direct support professional (DSP) staffing to all Little City adults and children residential homes assuring optimal staffing ratios and the highest degree of quality resident care is maintained at all times (24/7), as mandated by state/federal governmental regulatory requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
The list of essential duties and responsibilities, as outlined herein, is intended to be representative of the task to be performed. The omission of an essential function does not preclude management from assigning duties not listed herein is such duties are a logical assignment to the position.
1. Responsible for generating a master staff schedule and ensuring proper child/adult/staff ratios are maintained throughout the Childrens Residential Program and Adult Residential Program.
2. Responsible for maintaining an optimal staffing level in the residential programs, which always meets program requirements for supervision as well as using staff as efficiently as possible to eliminate unnecessary and excessive staffing costs.
3. Responsible for updating a master staff scheduling and making adjustments as needed according to budgetary constraints, census fluctuations, call-offs, pre- planned and unplanned absences.
4. Responsible for fulfilling staffing vacancies in advance to ensure adequate coverage to meet staffing requirements for all shifts.
5. Maintain oversight of each residential programs multi-home schedule and use discretion when reassigning staff to ensure staffing levels remain in compliance with licensing entities.
6. Responsible for working closely with both external staffing temporary agencies and internal employees.
7. Based upon staffing needs of the home, responsible for reviewing, recording, managing, approving and denying requests for time off in accordance with Little City policies and procedures and ensuring adequate coverage for all shifts meet staffing requirements. This includes vacation, sick, personal time, Family Medical Leave, and other leaves of absence.
8. Coordinates how staff are informed of available shifts throughout programs. This includes but is not limited to using survey tool for sign ups, phone, in person requests and emails.
9. Responsible for accepting all residential program call-offs while on shift and utilizing resources to fill all unplanned vacancies.
10. Responsible for tracking all call-offs and/or changes to the originally posted schedule.
11. Responsible for keeping and updating various staffing reports (on employees) such as, staff reassignments, verifying employees request for leave or time off.
12. Upon request, provide verification of employee work hours with the specific residential program or the payroll department to make sure wage payments are made accurately.
13. Participates in weekend on-call rotation for call-offs, which then includes filling the unplanned vacancy or reassignment of available staff.
14. Ensures that the collective bargaining agreement is followed in making scheduling, reassignment and overtime decisions.
15. Maintains American Heart Association certification in First Aid and CPR, if required.
16. Successfully completes Little City Foundation required training, re-training, and any additional training as required by Little City Foundation policies and practices, or as assigned by his or her immediate supervisor.
17. Other duties as assigned.
