Foxboro Administrative Offices and other BAMSI offices
Work schedule Monday-Friday, 8/9am – 4/5pm. Rotating On call responsibilities during evenings and weekends.
General overview: Work collaboratively with scheduling and staff team members, field supervisors, and administrative departments to supervise BAMSI’s relief employees. Create a competent and dedicated relief pool to meet programs’ needs. Strive for becoming an Employer of Choice by creating effective and efficient systems; recognizing and appreciating employees’ contributions; ensuring employees develop skill sets and competencies to be successful; and providing prompt feedback to improve performance. Assist with filling both direct care and nursing shifts throughout BAMSI’s residential and day service network.
Responsibilities:
Scheduling
Work in collaboration with field leaders and Human Resources (HR) to implement and audit staffing and scheduling systems. Run daily shift vacancy reports. Work with Directors of Operations and field supervisors to prioritize programs, and direct care and nursing shifts, which need staffing support. Weekly shift targets with be established with supervisor.Provide on-call support to the field during evening and weekends to assist with shift coverage. On-call responsibilities will be rotated between the Director and two Staffing and Scheduling Managers.Utilize an electronic scheduling program to track open and filled shifts in the schedules. Contact staff to fill in vacant shifts via blast emails, phone, email and/or text. Delete accounts as needed.Work with field supervisors to ensure schedules identify required licenses and certifications for shifts and locations.Post announcements on Shiftboard News page.Create custom reports to help with audits and planning. Maintain an electronic list of relief staff to work in designated programs. Assure each program has an adequate number of relief/per diem staff.Supervision
Conduct and document monthly check-ins with assigned relief. Discuss performance and job satisfaction; solicit feedback and suggestions for system/agency improvement; and promote engagement initiatives.Identify training needs and requirements for relief. Coordinate and track training requirements. Provide training for relief, per diem and management staff in various administrative systems as assigned.Ensure compliance with Relief Agreement, including training and hours worked.Work with the Director of Staffing and Administrative Services to address employee relation issues.
Human Resources
In collaboration with HR and field supervisors, assure relief and regular employees are placed on ALWOP in Shift board, if out of compliance. Notify programs of any scheduling disruptions.Ensure all relief have valid/current driver’s license.Assist Relief as needed to complete LOA paperwork. In conjunction, with HR assure relief are placed on LOA in shift board. Notify programs of any scheduling disruption
Other
Performs other related work duties as needed or as assigned by supervisor or designee.
Qualifications:
Bachelor's degree required.A minimum of 2 years supervisory experience in a related environment.Proficiency with Microsoft Office Suite, specifically Outlook, Excel, Word and PowerPoint.2-4 years of scheduling experience preferred.Must be highly organized and possess good critical thinking skills.Clear and effective communication skills.Great customer service skills. Collaborative approach and the demonstrated ability to gain organizational trust.Demonstrated ability to function independently at a high level of competence.
