Under the direction of the President, works with minimal supervision to handle details of a highly confidential and critical nature. The Executive Assistant requires in-depth knowledge of company operations, policies, procedures, and functions. This role will also create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety, while being responsible for facilities & space planning for the office- wide initiatives pertaining to space allocation and daily tasks to support executive leadership and associate engagement. This position is part of the Administration department located in **Bellevue, WA** and will **onsite.** **In this role, a typical day will look like:** + **Support the President and executive team** , ensuring efficient operational meetings and interactions. + Manage the President's calendar, expense reports, confidential correspondence, travel plans, itineraries, agendas, and travel-related documents. + Prepare **expense reports and purchase orders,** understanding expense reporting, invoicing, and budget processes. + Communicate on behalf of the President, facilitating smooth communication between the President's office and internal departments, and maintaining credibility and trust with senior management. + **Coordinate all aspects of executive meetings** , including invites, conference room reservations, videoconference setup, catering, tracking actions, and logistics for on-site and off-site events. Assist in scheduling, drafting agendas, preparing and consolidating presentation materials, and attending executive meetings. + **Provide project management for design and space planning projects** , managing space/infrastructure planning and providing solutions as needed. + Maintain **office efficiency** by managing common areas, maintenance, mailing, shipping, supplies, equipment, and errands. Coordinate ordering and stocking of office supplies and materials. + Oversee **day-to-day office activities** as the point of contact in the reception area, keeping management informed as needed. + Provide direct administrative support, including conference room and event setup, and document printing. + Participate in planning and executing engagement and company events (holiday parties, community events, teambuilding, etc.). + Maintain professionalism and confidentiality with all materials. **The essential requirements of the job include:** + High School Degree (or equivalent experience) + 8+ years C-suite / President level administrative experience that demonstrates an ability to carry out all responsibilities proficiently and to complete quality work on a timely basis + Excellent computer skills: Outlook (e-mail and calendar management), Word, Excel, and PowerPoint and other Microsoft Office products. We may ultimately pay more or less than the posted range. This range may be modified in the future. An associate’s position within the salary range will be based on several factors, including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs. The compensation range for this role is $80,000.00 - $100,000.00 USD per year. This job is also eligible for Bonus Pay.
