The **Secretary I** role in **Project Management** will provide essential support to the WDI Animal Kingdom Project Teams. Your responsibilities will be crucial in ensuring the success of creative projects, including managing general office tasks, overseeing the front entrance, and assisting key team members. This **Secretary I** role will report to the Principal Project Manager for Walt Disney Imagineering Animal Kingdom Projects and sits in the new project trailers inside Animal Kingdom park in Walt Disney World. This role is a Project Hire position with no guarantee of permanent placement. The Secretary 1 role is an on-site position based in Lake Buena Vista, Florida and please note relocation will not be available. **You Will:** + Collaborate with other project Secretaries/Administrative Assistants for consistency on process and office management of project trailers and teams and provide back up support as needed. + Support project team leads including but not limited to Project Managers, Creative Directors, and Producers, with calendar management, work sessions, travel, and expense. + Prepare and submit detailed purchase requisitions to ensure the accurate and timely procurement of goods and services. Monitor and manage the tracking of project materials to support efficient project workflows + Maintain tracking of WDI vehicles, pargos/golf carts, and coordinate with Office Services when vehicles need maintenance + Coordinate and process travel arrangements, reservations and expense reports as needed, ensuring compliance with company policies. + Oversee the ordering, stocking, and inventory management of office and kitchen supplies, including snacks and beverages, to maintain a well-equipped and organized workplace. Assist with personal protective equipment supply needs. + Support the planning and delivery of team events and celebrations; coordinate catering needs for meetings as needed. + Assist with managing and updating the office seating chart to reflect team changes and optimize workspace allocation. + Assist with onboarding processes for new project team members, ensuring smooth transitions and access to necessary resources. + Help troubleshoot and coordinate IT needs with Disney IT and team members. **You Will Have:** + 2+ years of experience in an administrative or office role, preferably supporting operations managers or cross-functional teams. + Proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel, with the ability to quickly adapt to and utilize new software or tools. + Technologically savvy, with a proven ability to learn and master new systems and platforms efficiently. + Proven track record of maintaining confidentiality and exercising sound judgment in handling sensitive information. + Strong team player with a collaborative mindset, able to build and maintain positive relationships with internal teams and external stakeholders and contribute proactively to team success. + Highly organized and detail-oriented, with exceptional time management and prioritization skills to effectively manage tasks in a fast-paced environment. + Resourceful, flexible, and solutions-oriented, with the ability to anticipate needs, act decisively, and solve problems effectively. + Demonstrated ability to provide exceptional service and support to cross-functional teams, ensuring smooth operations and successful project execution. **Preferred Qualifications:** + Experience coordinating events or managing logistics for team-building activities, recognition programs, or similar initiatives. + Familiarity with inventory management and procurement processes, including tracking, ordering, and maintaining supplies. + Proven experience in project coordination, including tracking progress and generating reports to support team operations. + Working knowledge of Coupa. **Required Education:** + High School Diploma or Equivalent Benefits and Perks: Disney offers a rewards package to help you live your best life.
