POSITION SUMMARY:
This position reports directly to the Administrative Manager and indirectly to the Director of Ambulatory Behavioral Health Services. Provides administrative support for clinical, management, medical and educational staff in all of the Child and Adolescent Ambulatory Behavioral Health Services. Functions as central phone reception and is responsible for courteously and effectively answering and directing all inquiries for Ambulatory Behavioral Health Services. Participates in the intake process by obtaining relevant descriptive and financial information as needed and recording and transmitting data related to access per department protocol. Is responsible for stocking supplies, scheduling appointments, collecting co-pays, generating daily encounter/census sheets, filing patient information, verifying and entering patient medications into departmental data system, recording and transmitting data related to records and processing medical records requests, scheduling, authorizations, charge entry and payer information and maintaining and monitoring databases. May perform registration of outpatients by choosing the correct Medical Record and obtains accurate demographic and financial data. Establishes patient account for the purpose of producing a timely and accurate bill and an accurate medical record. Verifies insurance through hospital system. Interfaces with patients/students, families, professionals and other hospital departments. Performs both Word processing and spreadsheet computer operations. EDUCATION/CERTIFICATION:
+ This position requires a high school diploma, or GED equivalent.
+ Bilingual (English-Spanish) preferred but not required.
EXPERIENCE:
+ Experience working in a medical facility.
+ Experience in a related setting using medical/psychiatric terminology and working with managed care and Behavioral Health carve outs is preferred.
COMPETENCIES:
+ Must be proficient in Microsoft WORD with basic knowledge of Microsoft EXCEL and OUTLOOK.
+ Exceptional interpersonal, organizational and time management skills are required.
+ Must be able to function effectively and independently in a work environment where multitasking is essential.
+ Must have excellent verbal and written command of the English language and communication skills in order to effectively communicate with patients/students and staff.
+ Requires mature judgment and a comfort level working in an environment with children and adolescents with psychiatric disorders in an environment can often be emotionally charged.
ESSENTIAL DUTIES and RESPONSIBILITIES:

+ Promotes effective and efficient operation of daily activities, such as opening and closing the main office, distributing mail, copying, faxing, filing, dispatching messages to appropriate clinical staff and other work flow operations for all services, as evidenced by successful completion of tasks, staff feedback and customer satisfaction.
+ Maintains schedules and/or appointments for outpatient MDs and clinicians, scheduling appropriate patients in accordance with functions of the MD or clinician, and ensuring efficient utilization of staff time, as evidenced by productivity reports, staff and customer feedback and supervisor observation.
+ Monitors the condition of office copiers, faxes and computers and maintains specified level of departmental inventory supplies to allow staff to complete assigned responsibilities, as evidenced by staff feedback and supervisor observation.
+ Creates, maintains and organizes patient/client active and inactive medical record, ensuring record is complete and ensuring the safe handling of confidential information and expeditious retrieval of information, as evidenced by staff feedback, chart review, regulatory reviews and supervisor observation.
+ Is courteous and efficient in providing general clerical support functions to ensure efficient utilization of time and efficient office operations, as evidenced by staff feedback and supervisor observation.
+ Accurately enters charges within required time frames, as evidenced by location reports, denial reports, late charge reports and supervisor observation.
+ Coordinates and maintains log for all medical record requests and processes information within the required time frame, ensuring proper release has been completed and following established policies and protocols, as evidenced by customer feedback and supervisor observation.
+ Provides support to Mental Health Counselors in accurately communicating information relating to transportation of clients and responding to phone calls from drivers and cabs, as evidenced by patient attendance records and charges, staff and customer feedback and supervisor observation.
+ Demonstrates the ability to effectively facilitate the intake process, recording necessary financial and clinical information, properly entering all appropriate information into the database system and appropriately communicating information per program policy and protocol, as evidenced by staff feedback and supervisor observation.
+ Actively seeks up-to-date insurance information by inquiring upon admission, calling insurance companies for verifications and/or authorizations and appropriately updating database system as evidenced by denial reports.
+ Demonstrates proficiency in computer and typing skills specific to needs of the department, as evidenced by proficient and accurate completion of tasks.
+ Demonstrates ability to adjust to changes in work /role responsibilities as needed by Behavioral Health Services to assist in adapting to the changes in the health care environment and managed care, as evidenced by staff feedback and supervisor observation.
+ Consistently prepares and thoroughly updates daily encounter/census sheets for appropriate service and posts for clinical staff use. Processes all charges utilizing appropriate hospital approved system in an accurate and expeditious manner, as evidenced by reconciliation.
+ Requests patient insurance co-pays upon arrival for appointments and processes and verifies transactions daily, as evidenced by reconciliation and accuracy of all required information.
+ Accurately establishes patient account by verifying insurance and eligibility, carve out information, diagnosis code, policy numbers & Authorizations of Managed MCD, assigning correct physician(s), admit source, admit priority, MSP information, subscriber information and linking correct patient with correct medical record number.
+ Completes demographic and financial information accurately in conjunction with Patient Access Department expectations while accurately determining the appropriate flow type in the Admissions registration system.
