The **Secretary ll** is responsible for providing administrative support services to the PFPA offices. **Responsibilities** + Responsible for printing all meeting materials in advance for the office director and personnel; prepare folders as needed, schedule and create meeting agendas, facilitate meetings and compose meeting minutes, resolve schedule conflicts and maintain correspondence log. + Responsible for maintaining office filings; preparing the Significant Activity Report (SAR) binder; adding new entries into the Director's contacts; updating the Director's phone book; escorting visitors; arranging interviews when needed and processing packages signed by the Director. + Maintain, order and restock office supplies; operate and maintain the video tele-conference units; screen telephone calls and mail; update rosters and reports, compose letters and reports and review correspondence for format accuracy and completeness. + Report senior leadership status; serve as POC between the DiLorenzo Health Clinic and the RMFD; serve as POC for all covered employees in regards to their mandatory annual physical; and maintain employee records for scheduling purposes. **Qualifications** + High School diploma or GED equivalent required + 3+ years of performing Secretarial Support + Must be a U.S. citizen + Secret clearance required **Knowledge, Skills and Abilities:** + Must be proficient in the use of Adobe Acrobat and Microsoft Office software programs including Word, Excel, Project, Access, Outlook, and PowerPoint + Demonstrate familiarity with, and ability to be effective in, the PFPA working environment, diligently mastering and managing priorities, and communicating the preferences and philosophies of the various directorates, their organization, and clients + Clear and concise communication, both in person and over the phone, is crucial for interacting with clients, colleagues, and superiors. + Efficiently managing schedules, appointments, deadlines, and documents through proper filing systems. + Ability to work nights, weekends, and holidays, as needed. + Ability to travel for up to 10% **How you’ll grow** At Chenega MIOS, our professional development plan focuses on helping our team members at every level of their careers to identify and use their strengths to do their best work every day.
