Senior Academic Services Specialist

The University of Maryland Baltimore’s School of Dentistry is seeking a Senior Academic Services Specialist for the Department of Dental Public Health. The Senior Academic Services Specialist is responsible for the full administrative coordination of the Department. This position is responsible for leading administrative activities, coordinating, organizing, and maintaining the operational and administrative functions of the department and or programs. This position is also responsible for serving as a resource for students, faculty, and staff by developing and coordinating activities, programs, and extracurricular activities.

Primary Duties:

Lead or assist with administrative activities of departmental programs with interrelated activities of other programs, departments, or staff to ensure optimum efficiency and compliance with appropriate policies and procedures.
Develop program plans in accordance with specifications and funding limitations. Oversee or assist with daily operations and coordinate activities of programs. Facilitate priorities and synchronize the assignment of faculty, facility, and students.
Oversee or assist with daily operations and coordinate activities of programs associated with the National Museum of Dentistry. Facilitate priorities and synchronize activities of faculty, volunteers, students, and visitors.
Develop, facilitate, compile, and write program or coursework communications and promotional literature for distribution such as newsletters, brochures, or flyers.
Reconcile departmental budgets and oversee payment of all departmental expenses including payment of program related expenses including consultants, contracts, grant award subcontracts, grant award contracts, student and non-student workers or interns, guest speakers and departmental office supplies, etc.
Input purchase requisitions and sub award requisitions. Responsible for using procurement card to make purchases for the Department and the National Museum of Dentistry.
Prepare periodic reports, financial statements and records on department program activities, progress, status, or other special reports for management or outside agencies.
Organize or assist with clinical or externship site assignments. Arrange or assist with clinical or externship supervision at clinical sites by assignment of faculty or preceptors.
Confer with and advise staff, students, and others to provide technical advice, problem solving assistance, answers to questions, and provide policy interpretation. Refer issues to appropriate department person when unable to respond.
Serve as a liaison between students, faculty and department staff regarding payroll, benefits, reimbursements, and other administrative matters.
Coordinate and assist with school and campus to facilitate department related travel to include application for approvals and associated travel arrangements as needed.
Evaluate program effectiveness to recommend improved methods.
Implement activities of academic program and assist with assignment of faculty, facility, and students. Ensure students are progressing through courses appropriately and successfully. Direct students to resources that will aid in their success.
Responsible for the coordinating, organizing, and maintaining operational and administrative functions of department's academic programs including but not limited to curriculum evaluations and accreditation.
Responsible for assisting with or coordinating research programs, application development and application submission to include coordinating budgets with the finance office, applications, and coordination with the campus Office of Research and Perform other duties as assigned.

Education: Bachelor's degree

Experience: Five (5) years of administration of a program, preferably in higher education or healthcare setting.

Hiring Range: $71,000 - $79,000, Commensurate with education and experience
