Senior Administrative & Operations Coordinator - Cimpress Open (Hybrid Role)

Cimpress is creating a new business called Cimpress Open whose mandate will be to excel at serving customers via third-party channels. We will partner with companies that have strong customer relationships with end-customers who need mass-customized print products. In its initial stage, Cimpress Open will pursue opportunities with digital design software partners and established ecommerce marketplace platforms. This approach will evolve and expand over time as we establish a presence in these new segments. Cimpress Open is a dynamic new business unit within Cimpress, focused on excelling at customer service via third-party channels. We collaborate with companies that have strong customer relationships to provide mass-customized print products. Our initial efforts will target digital design software partners and established e-commerce marketplaces, with future plans to expand into new segments. As we grow, we’ll continue evolving to meet the changing needs of the market and our customers.

What You Will Do:
As a Sr. Assistant to the Cimpress Open Executive and leadership team, your role will begin as a hybrid of administrative assistance and operational support, with a focus on team coordination, logistics, and event planning. You will also contribute to daily operations, assisting with customer service initiatives (CARE), New Product Introductions (NPIs), and workflow coordination.
You will work closely with leadership, cross-functional teams, and stakeholders to ensure smooth operations, organizational efficiency, and team productivity.
Key Responsibilities:
● Calendar and Time Management: Oversee and manage the calendars of the Cimpress Open leadership team, ensuring meetings are scheduled, adjusted, and confirmed with precision.
● Travel Coordination: Organize complex travel arrangements for team members, including international and multi-city trips, ensuring that all logistics are clear and executed seamlessly.
● Expense Management: Prepare and submit accurate expense reports for the Cimpress Open VP in a timely manner.
● Purchasing & Service Management: Manage purchasing POs for software and service providers, ensuring timely procurement of necessary resources.
● Event Coordination: Organize and execute successful offsites, events, and team gatherings, including virtual and in-person events, ensuring all logistics are efficiently managed.
● Operational Support (CARE, NPIs, Workflow Coordination): Support daily operations, including assisting with customer service functions, NPIs, and streamlining workflows across various departments.
● Strategic Decision Support: Develop a deep understanding of leadership priorities and goals to provide informed recommendations and support strategic decisions.
● Process Improvement: Continuously evaluate operational workflows, identifying opportunities to improve efficiency and productivity, and help implement changes to maximize team effectiveness.
● Cross-Functional Collaboration: Work closely with multiple teams, including marketplace, production, and logistics, to enhance processes and ensure smooth communication across departments.
Your Qualifications:
At Cimpress Open, we seek individuals who will bring new perspectives and energy to our teams while fostering a positive and innovative culture.
● Proven experience in executive assistance, administrative support, or project coordination.
● Strong organizational and time-management skills with the ability to manage multiple tasks effectively.
● Excellent written and verbal communication skills in English and French, with the ability to interact with leadership and teams at all levels. German and Design skills are advantageous
● Detail-oriented, with an emphasis on accuracy in calendar management, travel coordination, and expense reporting.
● Proficiency with Google tools (Google Calendar, Google Sheets, Google Docs, Google Meet) and Microsoft Office Suite, and project management/scheduling tools.
● Experience with event planning and logistics management, both virtual and in-person.
● Comfortable in a fast-paced, evolving environment with shifting priorities.
● A proactive and hands-on approach to solving problems and addressing challenges in a startup environment.
● Ability to adapt quickly and manage competing priorities with an agile mindset.
● Bachelor’s degree or equivalent experience preferred.
