About the Role/ Department:
Reporting to the Head of International & Asset Servicing HR, this role is primarily responsible for leading executive administration activities, along with working with the wider HR team supporting general HR administrative duties.
A minimum of 4 days a week in the office is a requirement of this role.
The key responsibilities of the role include:
Diary management & executive administration duties for Head of International & Asset Servicing HR and their direct reports.Production of International HR data metrics and dashboards for Head of International & Asset Servicing HRAssist with the production of presentations for Head of International & Asset Servicing HRPreparation of internal HR Meetings including booking rooms, preparing agendas and distributing resources for meeting attendees for Head of International & Asset Servicing HR and their direct reportsAttending meetings as note taker, collating and distributing actionsManage administration for assigned HR Projects, liaising with relevant parties, managing documentation, maintaining and updating relevant HR trackers.Working with Senior HR Business Partners, the HR data analytics team and the COO HR International to coordinate and produce HR reports and dashboards for the various legal entity boards and other governance committeesSupport HR onboarding process activities relating to new joiners induction & background screening documentation.Processing of invoices & expense claimsBooking International travel for Head of International & Asset Servicing HR and their direct reportsCo-ordination of arrangements for HR visitors as necessary Update and maintain organisation charts & distribution lists Coordinate and support office/BAU moves Administrative support for visiting HR Senior ExecutivesWeekly co-ordination of Asset Servicing Flexible working requests globallyThe successful candidate will benefit from having:
Proven experience as a Personal Assistant/Administrator in a HR function.Ability to multitask, with excellent attention to detailStrong organisational skillsStrong knowledge of Excel, PowerPoint, Sharepoint and TeamsFamiliarity with systems e.g Power BI.Excellent written and communication skillsWorking with Us:
