The salary range for this role, based in New York is $61,776.00 to $77,220.00. The range will vary if outside of this location.  Base salaries are determined during our interview process, by assessing a candidate’s experience, skills against internal peers and against the scope and responsibilities of the position.

Position Summary

Your primary responsibility will be to provide administrative support to the Apollo Division, enabling these field sales departments to grow our brands and our business ahead of target and ahead of the competitionYou will establish and foster relationships that will drive this success

Major Responsibilities /Accountablilities         

Responsible for all administrative duties supporting the Apollo Division Commercial teamProvides full administrative support to the Division Vice President (DVP) of the Apollo  (East) divisionPrimary responsibilities include travel arrangements, calendar management, expense account filing and tracking, meeting planningManages and tracks DVP’s staff meetings follow up and action items. Ensure completionOffice Manager for Regional office include office upkeep, lead POC for building, ordering supplies, submitting office invoices, coordinating samplesResponsible for representing the DVP leaders in company communications (i.e.: phone/mail/email, company notes, holiday cards, etc.)Coordinate and manage divisional and team meetings. Meeting planning requires hotel and venue contract negotiation and management of budget.  Includes coordination and logistics planningMaintains key dates on master calendar for the leadership teams:  Division Meetings, additional department meetings, customers  and/or distributor meetings, Talent Calibration, CODI planning and review meetings and project meetingsFoster Division culture by organizing happy hours / celebrations and other team-building opportunitiesHost and resources for all out-of-town internal guest and external visitorsCoordinates administration of IT needs (new phones, computer equipment, office access etc)Monitor system for new tools to enhance leader’s effectivenessReservation of office and conference room spaceHost and resource for guests to Division OfficeAssist with new hire training and orientation 

Nature & Scope​

Position typically works with all levels of managers and employees of PRUSA, providing information as directed by executiveCommunication can include sensitive information, requiring complete confidentiality and discretion in dealings with contactsIncumbent plans activities for this position weekly with individual initiative in daily routineDecisions may impact the departmental leadership and organization as a wholeErrors in judgment may cause expense to the organization

Key Requirements

- Education:

Bachelor’s Degree preferred, advanced training in MS-Office preferred

- Experience / Background:

Requires 5+ years of previous experience, supporting multiple individuals and/or groups in a fast-paced environmentBeverage alcohol or other CPG experience preferred

- Required Skills / Competencies:

A successful individual will demonstrate excellent verbal and written communication skills, as well as outstanding aptitude for time managementDetail orientation, interpersonal awareness, as well as proficiencies in problem-solving are key competencies for success 

Working Conditions

Work is performed in a typical office environment, with moderate demands for movement and lifting.Normal visual acuity required for correspondence and computer terminal usage.Occasional overnight travel required (<5%).
