**Job Summary**
This position is responsible for administrative assistance and secretarial support through effectively maintaining a close and highly responsive relationship to the day-to-day activities of the department.
**Job Description**
**Key Roles & Responsibilities**
• Performs complex administrative duties, often of a sensitive or confidential nature, utilizing technology and available resources to ensure efficient office organization
• Provides administrative assistance to schedule travel, meetings, and meeting facilities and equipment to ensure efficient utilization of personnel and site resources; independently researches hotel, flight, and ground transportation options and prepares travel itineraries; arranges and coordinates team meetings
• Maintains calendars and coordinates schedules for the individuals the position supports; uses sound judgment to manage priorities of requests based on importance and urgency
• Skilled in the use of Outlook, Excel, PowerPoint, Word, and Teams to produce high quality reports, presentations, and other documents and support team activities
• Prepares expense reports, serving as custodian of departmental credit cards; reconciles invoices and recommends for approval by managers; develops, maintains and reports records as assigned; sets up vendors and monitors payments and department expense budget
• Monitors and orders supplies for the department
• Participates in special projects and committees as assigned
• Develops and maintain electronic files for administrative and project work
**Education, Experiences & Skill Requirements**
•Seven (7) years of administrative support experience, preferably supporting senior level executives
•Must be an efficient, detail-oriented person who is responsive to deadlines and effective in a fast-paced environment
•Proficient Microsoft Office (Word, Excel, Outlook, and PowerPoint) skills
•Excellent verbal, written, and interpersonal communication skills, including the ability to interface effectively with all levels of employees, including senior management
•Excellent organizational and time-management skills; able to manage multiple projects simultaneously
•Demonstrated effective problem-solving skills
•Ability to maintain confidential information
•Capable of arranging and scheduling complex, multi-site meetings with multiple members
•Ability to learn and navigate vendor payment systems
•Ability to monitor budget expenses
•Experience gained through college degree programs and/or certifications is
applicable to above skills
