Senior Administrative Assistant

We are recruiting a Senior Administrative Assistant to join us at our Harwell office in the UK.

Let's talk about the role:

The primary role of Administrative Assistance function is to provide all secretarial and administrative support to the Business leaders and teams across businesses. Key deliverables include arranging for conferences, travel, email and diary management. Supporting key communication programs and coordinating staff functions and events. Managing key meetings, minutes, follow up actions and report preparation.

This role supports the VP, Commercial Leader EMEA and the Senior Director, Provider Marketing, EMEA. The post holder will be a critical member of the team, pro actively engaging with stakeholders at all levels and helping ensure the smooth running of each function.

Let’s talk about responsibilities:

1. Accountability and Follow-Up

Ensure commitments made during discussions are translated into actionable items.

Track decisions and action points to ensure timely execution.

Analyses data and prepares reports

2. Proactive Engagement

Actively contribute to strategic goals with ideas and critical thinking.

Challenge assumptions and improve time and resource allocation.

Shape the team's direction beyond routine tasks.

3. Meeting, Events, and Agenda Management

Organize agendas, materials, and logistics for meetings and town halls.

Capture minutes, delegate action items, and follow through on outcomes.

Manage schedules, diaries, travel bookings, and expense submissions.

4. Communication and Coordination

Develop effective communication strategies within the team and with stakeholders.

Streamline channels to improve alignment and clarity (e.g., Outlook, MS Teams, Asana, Confluence).

Ensure critical matters reach leadership and facilitate cross-functional collaboration.

Let's talk about qualifications, skills and experience:

Required:

Bachelor’s degree.Minimum of 5 years of related experience in a similar role.Pro active communicator.Experience in a similar fast paced environment and working on confidential matters.Can anticipate patterns and analyse complex problems, looks beyond the immediate problem to the wider implications.Proven experience in process improvement
