Senior Administrative Assistant - Legal Department
Overview This is a hybrid role, with the expectation that time working will regularly take place inside and outside of a company office. We are seeking a dynamic and highly organized Executive Administrative Assistant to provide comprehensive support to the Legal team advising management and the board re risk management, governance, and regulatory affairs. The role would have a primary focus on supporting the Legal team in coordinating the corporate secretary office activities and related support for the board and senior management. The ideal candidate will possess excellent communication skills, impeccable attention to detail, the ability to manage multiple tasks efficiently in a fast-paced environment, and have banking, governance, and/or regulatory experience. Responsibilities Serve as the primary point of contact for the Board of Directors, managing their schedules and travel arrangements for board meetings. Provide administrative support for the Senior Assistant Chief Legal Counsel including scheduling, preparing agendas and meeting materials, tracking deliverables, creating, organizing, and maintaining sites. Coordinate with paralegals and attorneys in organizing books and records, protocols, and procedures for maintaining consistency. Assist with post board meeting follow ups in line with books and records requirements. Assist with special projects and presentations as assigned. Handle administrative tasks for board members. Qualifications High School Diploma or GED and 3 years of experience in Administrative Preferred Skills: - Bachelor's or Associate’s degree in business administration, finance, or related field preferred. - Proven experience as an executive assistant or administrative assistant, preferably supporting C-suite executives or board members in the financial services industry. - Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels. - Strong organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. - Discretion and integrity when dealing with confidential information. - Ability to work independently with minimal supervision and as part of a team. - Flexibility to adapt to changing priorities and work schedules as needed.
