Position Description: Perform senior level administrative services and perform functional business department activities working closely with leadership.
Essential Duties & Key Responsibilities:
Provide exceptional customer service and positive interactions while serving as senior administrative point of contact for functional business department and leadership. Engage professionally with others to address and discuss information. Facilitate executive activities, manage calendars and commitments, travel, and expense reporting. Serve as liaison between leadership and others, manage calls and email communications. Proofread written correspondence, memos, emails, presentations, and other documents. Record, transcribe and distribute minutes of meetings. Assist leadership in making consistent decisions by providing historical reports and references. Serve as coordinator for department, including meetings and events. Complete items requiring executive electronic signature, use only with documented authorization. Maintain Notary Public commission (as required) Embrace company culture, values, and Diversity, Equity, and Inclusion (DE&I) across company. Demonstrate consistent lean leadership; evaluate processes for continuous improvement opportunities to increase responsiveness to business needs and increase consistency and efficiency within team; establish and share best practices across team. May serve in management capacity to: Provide Administrative Services (AS) team support and relief of others' job duties during times of need (e.g., lunch, breaks, illness, vacation). Manage requests for department administrative support and delegate as appropriate to department team members. Balance workload and prioritize concurrent tasks and activities for department AS staff and self. Establish standard operating procedures (SOP) for department AS staff roles. Explore and drive innovative ideas to improve systems, processes, and service quality. Lead and develop department AS direct reports to ensure strength in key areas of administrative expertise. Foster teamwork, open communication and collaboration with others. Deliver timely performance feedback for department AS direct reports, execute/contribute performance appraisals during annual performance cycle, utilize talent management system, and identify appropriate training for development needs. May serve as Development Partner (DP) for AS team members.Other activities, duties, and responsibilities assigned.
