Position Purpose

Provide senior-level administrative support to the Sanger Learning Center in the Undergraduate college.

ResponsibilitiesFinance: Prepare, document, and reconcile payroll. Coordinate and implement purchase requisitions, OOEFs, and other authorizations for goods and services. Processes payments and Pro-card reconciliation. Creates requests for travel authorization, assists with booking travel, processes travel reimbursements, and ensures compliance. Interact with students, faculty, and staff within multiple units, departments, and colleges regarding fiscal matters. Administrative Support: support operations of the center, including supervising student employee personnel, organizing meetings and events, maintaining calendars, taking minutes, answering, and screening phone calls, and tracking office supplies and inventory. Updates the center’s website, internal systems, mailing lists, and handouts. Serves as administrative assistant to the director.​HR: Supports the recruitment, hiring, and payment of student educators & professional staff, processes I-9s, and serves as the main conduit with the Undergraduate College HR team. Facilities and Asset Management: Track and maintain asset records/inventory for the Center and support Center facilities planning and maintenance. Process key requests and other facility-related matters.Collaboration, partnership, and external communications: Serve as an engaged Sanger Learning Center staff member, participating in meetings, liaising with college and UT departments, and serving on committees. Maintain a network of campus contacts to improve processes and proactively identify solutions for emerging challenges. ​

Required Qualifications

Bachelor’s degree and three years of clerical and/or administrative experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level; or high school graduation or GED and seven years of clerical or administrative experience.

Relevant education and experience may be substituted as appropriate.

Preferred

Experience at UT Austin with Workday, UT Market, FRMS, Define and, PointPlus. Experience at UT Austin handling purchasing, payments, and travel. Experience scheduling meetings and keeping a calendar. Demonstrated excellence in communication skills.
