JLL is seeking an Senior Administrative Coordinator who will work closely with the Leasing team on leasing and related activities as well as other projects on an as needed basis.
WHAT YOU’LL BE DOING
Provide administrative support to Leasing Leadership Team including Executive Vice President, National Shopping Centre Leasing and Vice Presidents, Leasing.
Provide and compile essential data to Leasing Leadership Team on Tenant Sales and Category Sales, for individual properties in an effort to maximize property performance
Maintain leasing status reports, and keep accurate records with respect to potential tenants for new and existing properties
Update and maintain leasing activity plans for shopping centres
Provide assistance and communication with Shopping Centre Managers in the region
Initiate follow-up calls with retailers on status of proposal letters, TPF’s, and legal documents (leases, lease amending agreements), as needed
Assemble property packages (property sales report, occupancy, traffic reports, etc.) for Tenant pitch decks
Participate in meetings with retailers, track opportunities within the portfolio
Meeting preparation including but not limited to ICSC conferences, conference calls, or group meetings/events, preparation and distribution of documents for meetings, assistance with selection and distribution of materials as required
Handle conference coordination and preparation, including but not limited to collaboration with marketing, booking events, handling team travel plans, securing hotels, booking dinners, assisting with booth logistics
Coordinate travel bookings, including flights, hotels, car rentals, etc; complete expense reports on a monthly basis
Manage leadership team calendars and select correspondences. Be responsible for reoccurring team meetings, take notes and minutes during meetings, circulate as needed
WHAT YOU’LL BE DOING
Minimum 4 years of work experience in corporate setting
Experience within real estate industry preferred
Familiarity with retail leasing, and reading leases preferred
The position is ideally suited for an assertive, self-directed, self-confident individual who is approachable, cheerful and achievement ordinated
Must possess excellent organizational, communication, and mathematical skills
Ability to connect quickly with people in a poised, convincing and enthusiastic way; Understanding people well and using that understanding effectively in motivating/persuading others to act, will be an important aspect of the job
Ability to work at a fast pace and cooperatively with people; Team work and collaboration and flexibility within the company is essential
Operate with a strong sense of urgency and initiative
Ability to react quickly to changing environment, priority tasking and evolving situations
Ability to make decisions under pressure, generally calling on other people’s ideas and advice
Creative problem-solving skills
Proficient in Word, Excel, PowerPoint
Knowledge of Adobe Illustrator and/or Yardi Systems an asset
Ability to travel as needed
