Who we are Texas A&M College of Dentistry (https://dentistry.tamu.edu/) in Dallas was founded in 1905 and is a nationally recognized center for oral health sciences education, research, specialized patient care and continuing dental education. The Biomedical Sciences department is a major locus for basic science and translational research at the College. Departmental faculty interests range widely within a central research focus on craniofacial biology. In addition to many well-outfitted individual laboratories, the department houses a Core Laboratory for Cell and Molecular Biology. Departmental faculty provide all basic science instruction to dental and dental hygiene students and to residents in postgraduate dental specialty programs, as well as graduate degree programs (MS, PhD) in Biomedical Sciences awarded through Texas A&M University. What we want We are seeking a Senior Administrative Coordinator II to serve in the Biomedical Sciences department. This role will provide high level support to the department - overseeing office and departmental administration with exceptional attention to detail. What you need to know Proposed Salary: $66,000.00 annually. Compensation will be commensurate to the selected hire’s qualifications. Work Schedule/Location: Located in Dallas, TX, this is an on-site role with a typical schedule of Monday – Friday 8am to 5pm. Required Education and Experience + Bachelor's degree or equivalent combination of education and experience + Seven years of experience in office administration Preferred Qualifications: + Detail-oriented, highly motivated individual, with the ability to balance multiple tasks simultaneously. + Professional experience invoicing and paying bills. + Professional experience in higher education. + Scheduling and meeting/event coordination. + Strong technical/business writing skills. + Ability to work with sensitive information and maintain confidentiality. + Ability to work independently towards strategic unit goals. Knowledge, Skills, and Abilities: + Proficient in Microsoft office and Adobe + Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative. + Strong interpersonal, planning, and organizational skills. + Excellent verbal and written communication skills. Essential Duties/Tasks: Office Administration + Serves as lead on planning and coordinating meetings, seminars, and other special events. + Provides advanced administrative and coordination support to the Biomedical Sciences department. + Coordinates administrative support functions. + Supervises assigned staff, plans work and determines work priorities. + Develops and approves schedules, priorities, and standards for achieving goals. + Develops administrative objectives and strategies. Participates in the planning and execution of administrative operations. + Establishes goals and objectives of administrative operations. May assist in the development of administrative operations and making adjustments to methods and procedures. Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. + Analyzes internal processes and times lines and recommends and implements procedural or policy changes. + Makes recommendations for process improvements, administrative changes, or new initiatives. Department Operations + Submits all travel arrangements and responsible for travel expense reports. + Monitors budget, reviewing purchase orders and monthly expense reports. Monitors budgetary spending by verifying charges against budget and reconciling numerous accounts on a monthly basis or as needed. + Works directly with purchasing agents to arrange for procurement of administrative, instructional, clinical and other equipment and supplies. + Manages and tracks department funds in Canopy and FAMIS. + Advises grant balances and assists with Maestro project submission. + Tracks faculty absences and advises on balances. + Serves as lead liaison for faculty hiring activities. + Manages faculty hiring process in Interfolio. Manages travel arrangements for prospective faculty. + Coordinates faculty travel logistics including conference registration, transportation, expense reimbursement, and account reconciliation. + Maintains department head calendar and schedule + Recommends guidelines, policies, rules, and regulations. + Monitors compliance with policies and procedures. + Maintain and monitor office supplies and equipment, and place orders to maintain inventory levels. Projects & Service + Performs special analyses and project summaries. + Prepares and reviews operational and special reports. + Attends Lead Administrator meeting as representative for department.
