Senior Administrative Specialist - General Services

Do you have experience as an administrative assistant working with executives? As a Senior Administrative Specialist, you'll provide high-level, day-to-day administrative support to the Director of General Services. This role involves assisting the various divisions within General Services, including Facilities, Fleet Services, Materials Management, and Mail/Print Services. Apply today to become part of this driven team!Manage and coordinate complex calendar, including scheduling meetings and ensuring Director’s preparedness for internal and external meetings.Draft, proofread, and organize correspondence and reports for Director and Managers, ensuring timely submission and approval.Independently create presentations, coordinate all aspects of quarterly all-hands events, and assist with special projects or other tasks as assigned.Assist Division Managers with confidential correspondence or reports.Regularly collect and enter KPI Measures and Action updates for Strategic Plan into Clearpoint. Primary General Services point of contact for Public Records Requests. Primary liaison with HR for recruitment for General Services: independently prepare hire request packages, review postings, represent G.S. at career fairs and recruiting events, interact with candidates via phone and email, prepare interview schedules and process hire justification packages. Run reports of performance reviews coming due for all G.S. Divisions and send reminders to Managers.  Serve as a Department Workday Representative.Prepare all temporary staffing description requests and monitor temporary staff POs to ensure that funding is appropriate; approve temporary staff time cards as necessary.Coordinate and schedule department wide-mandatory training, track attendance and notify staff to ensure timely compliance.Purchasing Card (P-Card) Coordinator for General Services, including collecting and verifying accuracy of all P-Card receipts.Provide general support for General Services Department and Divisions as a general administrative support.

Work Hours: Monday - Friday, 7:30 a.m. - 4:00 p.m.

About You

Minimum Qualifications:

An Associate's Degree from an accredited college or university in Business Administration or related field AND four (4) years of experience in administrative experience with some executive exposure.-OR- Bachelor's Degree from an accredited college or university in Business Administration or related field AND two (2) years of experience in administrative experience with some executive exposure.-OR- Six (6) years of experience in administrative experience with some executive exposure and managers discretion.A valid Florida Driver's license at the time of hire.

Preferred Qualifications: 

Proficient with Microsoft Office and Adobe applications. Knowledge of eGenda, OnBase, One Solution, SharePoint, Lucid Chart, GovMax, Workday, Clearpoint, Smartsheet and Works (Bank of America).

Physical Demands:  Must occasionally lift and/or move more than 50 pounds.

About Everything Else

Starting Pay Range: $23.56 - $25.25, based on experience.
