Job Summary:

Our client in Palo Alto, CA is looking for a Senior Administrator, Digital Workplace & Solutions. This is a contract position.

The Digital Workplace & Solutions team is responsible for creating and maintaining a seamless and productive digital experience for all employees, including those within our VW Tech Joint Venture (JV) partnerships. We focus on leveraging technology to enhance collaboration, communication, and overall efficiency. This role will be a key contributor in managing and optimizing our suite of JV-focused employee engagement and productivity applications.

As the Senior Administrator for JV Employee Engagement & Productivity Apps, you will be the technical expert and primary point of contact for a portfolio of critical applications used by our JV employees. This includes, but is not limited to, Figma, Lucidchart, Airtable, our Intranet & Communications platforms, Vizzlo, Smartsheet, and potentially other emerging technologies. You will be responsible for the day-to-day administration, configuration, support, and ongoing optimization of these tools to ensure they effectively drive employee engagement, productivity, and collaboration within our JV partnerships. You will work closely with JV stakeholders, IT partners, and internal teams to understand their needs and translate them into effective technology solutions.

What You Will Do:

Application Administration & Configuration:

Serve as the primary administrator for assigned JV-focused applications, including user provisioning/de-provisioning, access control, security settings, and configuration of features and functionalities.Maintain and update application settings, workflows, templates, and integrations based on evolving business needs and best practices.Ensure data integrity and security within each application.

Technical Support & Troubleshooting:

Provide expert-level technical support to JV employees for assigned applications, resolving issues promptly and effectively.Develop and maintain knowledge base articles, FAQs, and other support documentation for end-users.Escalate complex issues to vendor support or internal IT teams as necessary and track resolution.

User Training & Onboarding:

Develop and deliver training materials and conduct training sessions (virtual and in-person) for JV employees on the effective use of assigned applications.Create and maintain onboarding documentation and processes for new JV users.Promote adoption and best practices for utilizing the application suite.

Collaboration & Stakeholder Management:

Partner closely with JV leadership, functional teams, and end-users to understand their business requirements and identify opportunities to leverage our application suite for improved engagement and productivity.Act as a liaison between JV stakeholders and internal IT teams or external vendors.Participate in regular meetings with JV partners to provide updates, gather feedback, and plan for future needs.

Application Optimization & Improvement:

Monitor application usage and performance, identifying areas for optimization and improvement.Stay informed about new features, updates, and best practices for assigned applications.Proactively recommend and implement enhancements to improve user experience, efficiency, and functionality.Contribute to the evaluation and implementation of new digital workplace tools as needed.

Intranet & Communications Platform Management:

Contribute to the administration and content management of our Intranet and other internal communication platforms, ensuring relevant information is accessible to JV employees.Support the implementation of communication strategies and initiatives through these platforms.

Documentation & Reporting:

Maintain comprehensive documentation of application configurations, processes, and support procedures.Generate reports on application usage, adoption rates, and other relevant metrics to inform decision-making.

Compliance & Governance:

Ensure compliance with company policies, security standards, and data privacy regulations related to assigned applications.Participate in audits and provide necessary documentation as required.

What You Will Need:

Basics:

Bachelor's degree in Information Technology, Business Administration, or a related field.Minimum of 5-7 years of experience in administering and supporting enterprise-level software applications.  Proven experience in administering and supporting a significant portion of the following applications:Visual Collaboration & Design: Figma, LucidchartProject & Workflow Management: Airtable, SmartsheetData Visualization: Vizzlo (or similar data storytelling tools)Intranet & Communication Platforms: Experience with modern intranet platforms (e.g., SharePoint Online, Confluence) and internal communication tools.Strong understanding of user management, access control, and security best practices for cloud-based applications.Excellent technical troubleshooting and problem-solving skills.Exceptional communication (written and verbal), interpersonal, and presentation skills.Ability to work independently and collaboratively within a team environment.Strong organizational skills and attention to detail.  Experience developing and delivering user training.Ability to manage multiple tasks and priorities effectively in a fast-paced environment.Experience working with Joint Venture partnerships or external stakeholders is a plus.Familiarity with ITIL framework or other IT service management methodologies is a plus.Salary range: 65k - 85k annual. 

Preferred:

Certifications in relevant applications (e.g., Smartsheet Product Certified).Experience with automation tools and scripting languages.Knowledge of data analytics and reporting tools.Experience with change management principles.
