The Duties and responsibilities of a Business Support Officer include:
Manage Executive Calendar: Organize and maintain the senior executives' schedules, including prioritizing appointments, meetings, and events, ensuring optimal time management and efficient use of their time.Coordinate Meetings: Schedule, prepare for, and coordinate meetings, including sending out meeting invitations, securing meeting rooms, arranging for necessary equipment and materials, preparing agendas, and taking minutes as required.Travel Planning: Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa processing, while ensuring cost optimization and adherence to company travel policies.Correspondence Management: Handle incoming and outgoing communications on behalf of the executives, including drafting and proofreading emails, letters, reports, and other documents. Maintain confidentiality and ensure timely responses to inquiries and requests.Document Preparation: Prepare and edit presentations, reports, and other documents as requested by the executives, ensuring accuracy, clarity, and adherence to company guidelines.Information Management: Maintain and update confidential files, databases, and records, ensuring accuracy, accessibility, and adherence to data protection regulations.Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, vendors, and colleagues, to facilitate effective communication and collaboration on behalf of the executives.Expense Management: Process and track expense reports and reimbursements, ensuring accuracy, adherence to company policies, and timely submission.Special Projects: Support the executives in various special projects by conducting research, preparing presentations, and providing administrative support as required.Administrative Support: Provide general administrative support, including managing phone calls, arranging for office supplies, handling mail, preparing documents for signature, and performing other ad hoc tasks.Transfer of Resource Forecast data from OVal to Certinia at during the bid submission process.Management of new vendor qualification process within Jaggaer based on requests from Project Delivery Teams and requalification of existing vendors periodically.Technology Platforms Utilised:

Minimum of 3 years of experience as an Executive Assistant or similar other business support function, providing support to senior-level executives.Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines, while maintaining a high level of accuracy and attention to detail.Excellent written and verbal communication skills, with the ability to draft professional correspondence and communicate effectively with stakeholders at all levels.Proven ability to manage complex schedules, prioritize conflicting demands, and coordinate meetings and travel arrangements efficiently.Ability to handle sensitive and confidential information with utmost professionalism, integrity, and discretion.Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), with experience in calendar management, document preparation, and email correspondence. Familiarity with project management tools and other relevant software is a plus.Strong problem-solving and decision-making skills, with the ability to anticipate potential issues and proactively find solutions.Demonstrated ability to work independently, take initiative, and anticipate needs, while also being a reliable and proactive team player.Ability to adapt to changing priorities, work effectively under pressure, and handle ambiguity and tight deadlines with composure.A bachelor's degree in a relevant field is preferred, but not necessarily mandatory, depending on the candidate's relevant experience and skills.Location:
