The Importance of the Role
The Senior Associate, Medical Affairs, reporting to the Senior Director, Chief of Staff to SVP, Medical Affairs, plays a crucial role in executing operational tasks and supporting senior leaders. This position will assist the Chief of Staff with a wide range of responsibilities to enhance the capacity of senior leadership to focus on critical priorities. They will assist in aligning leadership, communications, processes, and resources across GMA and other functions, as well as enhancing awareness and understanding of GMA initiatives within the organization. This position also includes significant administrative coordinator duties, supporting senior leaders with their daily work and the overall operations of the broader team. The Senior Associate works directly with senior leaders to identify daily needs, provide effective solutions, and ensure smooth day-to-day operations.The Opportunity to Make a Difference
Assist the Chief of Staff in planning, coordinating, and executing initiatives.
Track the status and timely execution of initiatives.
Partner with the Chief of Staff in defining and developing high-impact communications.
Assist department staff with documentation and administrative procedures.
Proactively plan and manage complex schedules.
Plan domestic and international travel in close collaboration with service providers.
Proactively troubleshoot and addresses travel conflicts when needed (including after core business hours).
Manage international visas and country entry requirements for team.
Coordinate meetings with internal and external participants, as well as team-building events, ensuring all necessary details are addressed for successful outcomes.
Compile agendas, track action items, and create summaries for meetings.
Support robust presentation, document, and spreadsheet development and maintenance.
Complete expense reports, tracking their progress and timely processing.
Administer purchase requests, contract submissions, and logistics of contracted projects.
Support budget planning and coordination, and quarterly business reviews.
Build and maintain strong, collaborative working relationships across the organization.
Lead and/or project manage additional projects and high-profile initiatives, as requested.
More about You
Bachelor’s degree with 4+ years of experience in an office setting serving in a similar capacity.
Experience in a bio-tech company or consulting firm preferred.
Excellent communication, interpersonal, organizational, and computing skills are required.
Ability to prioritize tasks and manage multiple responsibilities simultaneously, with excellent follow-up skills and the capacity to build collaborative relationships across the organization.
Strong team player with a customer service mindset, a solution-oriented approach, consultative skills, keen attention to detail, and the ability to quickly learn and adapt. Ambition and a proactive attitude are highly valued.
Ability to interact confidently and professionally with senior leaders, handling sensitive information with discretion.
Strong project management skills preferred.
Excellent technical skills with Microsoft Office suite (Outlook, Excel, Word, PowerPoint).
Ability to work outside of normal business hours to support the needs of senior leaders, as necessary.
Ability to travel domestically several times a year with advanced notice.
Ability to commute into the Cambridge office on an as needed basis.
