Senior Coordinator, Facilities
Role and Scope of Position:
Under minimal supervision, assist the facility management team in ensuring that client facility needs are successfully met.

Essential Functions: 

Project management:

Assist project management team with renovation and new construction projects from design inception through construction completionCreate vendor files and checks accuracy on completed paperwork submitted by vendors, approving invoicesMonitor budgets and schedules

Space planning:

Accountable for timely and cost-efficient space planning of offices, service centers, warehouses, etc. including the enforcement of approved Corporate Space Standards.Maintain occupancy level tracking, communicate with stakeholders to identify and assign seating as needed.

Building services:

Assist with day-to-day management of multiple building service vendorsRespond to client inquiries and concerns, ensuring timely and quality service delivery to clients; follows up with clients to ensure customer satisfactionWork order management; report on open and closed work orders and check status with the appropriate technician or vendorCreate and assign work orders to technicians, subcontractors and vendors; assist management in resolving problems

Financial/Administrative:

Review budget; review and process invoices ensuring accurate vendor billing and cost center codingTrain vendors on work order and billing procedures.Maintain all department files on work orders, proposals, etc.Support environmental initiatives and reporting; assist with the inspections on the facility campus.

Excellent interpersonal skillsPrevious customer service experienceAble to effectively manage multiple and shifting prioritiesProficient in understanding management agreements and contract languageWorking knowledge of computer software programs and base building systemsComputer proficiency with Microsoft Office Suite (MS Word, Excel and PowerPoint)Ability to work independently, exercise solid decision-making, demonstrate good judgement and understanding when and how to escalate issuesFundamental skills with PC including Microsoft Outlook, Word and ExcelStrong oral and written communication skillsAble to identify issues, recommend and implement effective solutionsAbility to respond to common inquiries or complaints courteously and effectively from clients, co-workers, and/or supervisor.General financial acumen; able to manage and analyze departmental budget

Education:  

High school diploma or GED. Degree in facilities management, building, business or relevant field a plus. 

Experience:  

Minimum of 4 years of related experience in tenant services, facilities management or related

Valid driver’s license required.

Working Conditions:

Work is performed in a combined office, warehouse and outdoor environment which may have periodic high levels of noise, inconsistent temperatures, and adverse weather conditions.Travel to facilities throughout the state and occasionally to facilities in other states is required.Role may require occasional on-call or after-hours to resolve critical facilities issuesMust be available to work emergency restoration assignment as required.Must be available to travel between MA/CT/NH as necessaryPhysical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 50 lbs. or more.
