The Senior Coordinator, Special Programs leads logistics and planning of large-scale events at the MD Anderson UTHealth Houston Graduate School, including commencement, Graduate Student Research Day, alumni activities, admissions events, program retreats, and symposia.
Oversees and coordinates all communications and event activities of a particular program/department in areas including but not limited to community relations, research or student recruitment programs.
Position Key Accountabilities:
Coordinates and collaborates with functional areas on planning and executing school-wide events. Manages logistics, including writing venue contracts, catering, approvals, and registrations, ensuring compliance with institutional and school policies. Responsible for managing event calendar and identifying optimal time for scheduling. Assists with budget management and expense tracking. Proactively researches and explores options for services and venues to ensure the Graduate School is utilizing the best possible options for events and cultivates relationships both on-and-off campus to support school functions. Collaborates with the communications team to create strategies to promote events to encourage attendance and participation with target audience. Analyzes and reviews events for efficiencies and opportunities for collaborations and expansions to support the mission of the Graduate School. Other duties as assigned.Certification/Skills:
Ability to work with multiple teams on concurrent projects. Strong organizational skills, proficiency with Microsoft Office suite, and familiarity with online meeting platforms. Excellent written and verbal skills.Minimum Education:
Bachelor’s degree in a related field or relevant work experience in lieu of education.Minimum Experience:
Three years of related experience. Prior experience with event planning and project management, required.Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
