We’re hiring a Senior Development Coordinator in Little Rock, Arkansas. In this position, you will coordinate logistics for major fundraising campaigns. Responsibilities will also include organizing and motivating volunteers, assisting with logistics of auxiliary fundraising events, coordinating event administration, schedules, and meetings, controlling inventory and implementation of marketing, presentation, or fundraising materials, and preparing financial or operational reports. You will also be responsible for ensuring sponsorship fulfillment of benefits, securing, and coordinating all vendor relationships, and ensuring policies and procedures for events are followed. This is an office-based position that offers a hybrid schedule in a fast-paced environment working in support of our mission. Be Valued™ at the American Heart Association by following us on LinkedIn, Instagram, Facebook, X (formerly Twitter), and at heart.jobs. **Responsibilities** In this role, you will be responsible to: + Prepare, edit, and maintain fundraising materials and presentations as well as event collateral and marketing material. + Coordinate the vendor contract process for assigned events to ensure that each site is following best practices, guidelines, and procedures. Track vendors’ adherence to contractual obligations and perform as agreed upon. + Ensure accuracy and adherence to the latest policies and practices as they relate to fiscal and event financials. Ensure expenses for events are coordinated with Sr. Director Heart Ball as well as monitor event budget. Coordinate and track invoicing, expenses, and peripheral accounts for events. Prepare and distribute reports as requested. + Maintain data entry of sponsorships, donations, auction items and bids and other financial gifts for Heart Ball, Teens of Impact/Sweethearts. + Maintain the attendance, fundraising, ticket/table sales, and other records of the Teen of Impact/Sweetheart. + Prepare and communicate schedules and meetings, and ensure deadlines are met. Ensure markets are meeting deadlines for successful event production. + Train volunteers and run assignments onsite during event. Act as volunteer liaison. + Input and maintain high-quality, accurate data in all systems including Greater Giving. Data includes information regarding prospective and existing donors, event participants, financial transactions, auction items, and more. + Work with Region’s Communications and Graphics partners to create and update custom materials for event promotion (e.g. flyers, programs, signage, etc.) and sponsor/volunteer engagement (e.g. Heart Walk participant resources, sponsorship proposals, etc.). Coordinate printing and mailing of all materials. Materials must appear professional, adhere to American Heart Association branding standards, and meet director and/or sponsor requirements. + Help directors with miscellaneous administrative or clerical needs, such as compiling reports and presentations for strategy meetings, reserving travel, etc. + Travel will be required to events within Little Rock, Hot Springs, and the surrounding service territory. **Qualifications** + High School Diploma/GED required. + 3-5 years of prior administrative support experience in related environment; broad knowledge and understanding of event management. + Excellent attention to detail, organization of workflow and calendars, verbal, and non-verbal communication with highly effective organizational and time management skills. + Ability to work independently, prioritize and handle multiple tasks simultaneously. + Proficient with all Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook. + Ability to work outside of standard hours which may involve some evenings and/or weekends. + Ability and willingness to travel locally throughout the territory. Requires access to reliable transportation. + Ability to lift and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting additional assistance may be required before lifting and/or moving. + Experience in Canva preferred. **Compensation & Benefits** The American Heart Association invests in its people.
