**Custom Job Purpose:**
This position exists to provide leadership, direction, feedback, development, and monitoring to school based and district based administrators and staff related to FTE administration, Class Size Amendment Implementation and Compliance, Processing of Public Records, Student Transfers, and Student and Staff Records Management. This position analyzes and prioritizes the requests of departments related to information services and the automation of information for the school district. The Position#s overall goal is to ensure accurate and timely state reporting processes and procedures are developed and followed by each District Department and each school site to maximize FTE through utilization of the Student Information and state reporting systems. This position administers and directs all functions of information systems, providing strategic direction and determining operational and tactical priorities necessary to achieve established goals and objectives.
**Essential Functions of this Job**
Responsible for planning, organizing and scheduling activities related to state and local automated data requirements and the automation of district information systems. Plans, communicates, directs and coordinates all activities related to class size amendment, student transfers, and records management for student and employee records including federal, state and local record retention policies. Coordinates the efforts of school and district personnel ensuring the district#s compliance with state class size amendment and open transfer policies. Manages school choice options available through the District#s #Controlled Open Enrollment# program including the planning, communicating, directing and implementation of all activities related to the program.
Plans, coordinates, and administers highly complex professional and technical training and support programs for district wide users of automated data systems. Coordinates and prioritizes data needs for school and district users and for individuals and organizations outside the public school system. Evaluates new technologies for application to existing and pending projects for systems enhancements. Develops and maintains effective external vendor relationships and contracts; negotiates contracts. Utilizes current technology, as appropriate, to perform job functions and participates in training programs offered to increase technology skill level and proficiency related to job assignment. Directs planning and implementation of automated records, including development of new user applications, operating procedures, and data monitoring. Administers state requirements for forms and reports and portions of the student information system in regards to security. Manages activities of staff and evaluates performance of the staff in the Information Services, Pupil Accounting and Records Management Departments.
Provides technical assistance and support to schools related to the student information system, grade book, student transfers, class size amendment, master scheduling, and records management. Directs the development and implementation of professional learning processes and content to support successful implementation of the student information system, FTE, student transfers and records management. Works with the District Teaching and Learning Division to support student record keeping including assessment data, scholastic records, and information related to special programs. Participates in cross-functional committees related to student information and system issues. Provides onsite assistance to system users.

**Knowledge, Skills and Abilities:**
Thorough knowledge of School Board policies and procedures and student and staff records. Considerable knowledge of finance, FTE, facilities, curriculum, scheduling, student services and community-related records with respect to automation. Knowledge of computer programs and procedures, particularly those software applications used by the district. Ability to organize, manage and coordinate complex activities. Ability to communicate ideas and concepts with understanding. Ability to read, interpret, and implement state statutes related to FTE, state reporting requirements, student transfers and student records. Ability to establish and maintain effective working relationships with school personnel, other operating departments and vendors. Ability to motivate staff and other personnel. Ability to communicate with multiple and varied district stakeholders and plan, implement, and evaluate effectively. Ability to express oneself effectively, orally, and in writing. Considerable supervisory and administrative ability.
**Education, Experience and/or Certification/License Requirements**
Graduation from an accredited college or university with a master's degree. Certification or coursework in Educational Leadership or Administration and Supervision desired. Considerable experience in student information systems, state reporting requirements, and the state database elements. Experience in school administration and supervision or related administrative management experience. Minimum of five years successful administrative experience or equivalent district- level program management experience in Polk County.

**Physical Environment:**
Requires working indoors in environmentally controlled conditions. Requires sitting for the majority of the day, and the ability to lift, carry, move and/or position objects infrequently weighing up to 20 pounds. Requires travel to schools and work sites within the district.
