Senior Docketing Specialist

Summary
Works closely with attorneys and staff teams to provide client support via expertise in calendaring/docketing, court rules, case research, legal procedures, court rules and risk management compliance issues related to calendaring and court functions. Maintains court docket and may serve as liaison between attorneys and courts. Ensures that all docketing dates and deadlines are met for assigned attorneys, groups and/or offices.

Location

This position is remote. Candidates should reside within reasonable commuting distance to the home office and must be based in one of the following offices: San Diego, Los Angeles, Palo Alto, San Francisco or Phoenix. Candidates are required to work west coast hours.


Responsibilities

Reviews all incoming correspondence, which includes creation of new files, review of correspondence for docketing purposes and forwarding to appropriate person for action.

Maintains docketing database by updating and clearing items as directed by the secretary/attorney team. Follows-up with the team for more information as needed.

Processes all incoming mail/correspondence for patent docketing purposes, including regular post mail, downloading emails and faxes.

Transfers files outside the firm, including updating database, physically sending boxes with appropriate letters and lists.

Prepares and open new case files and input records into database. Pulls files for all incoming correspondence.

After docketing, copies and distributes PTO correspondence along with the file to appropriate staff member.

Runs a variety of reports for enforcement and prosecution and upon request form the secretary/attorney team.

Processes transferred in files by inputting them into the system and docketing as required.

Reviews all incoming Official Filing receipts and Recordations and indicates any necessary changes needed and docket need for correction if applicable.

Reviews all filing and outgoing correspondence including draft applications and draft amendments in the absence of supervisor.

Maintains the integrity and accuracy of the docketing database and researches/corrects problems should they occur.

Prepares PTO courier run and ensures all filings are accounted for/checked against daily docket sheet report.

Assigns new docket numbers to new clients and new cases. Maintains list of new docket numbers assigned to new clients. Maintains docket-log of docket numbers for existing clients.

Other duties as assigned.

Strong computer skills. Strong organizational skills required. Good communication and interpersonal skills required to interact with staff and attorneys on a regular basis. Ability to work effectively in a fast-paced environment.

Minimum Education

High School Diploma or GED


Minimum Years of Experience

4 years' experience in docketing.

Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

The firm’s expected hiring range for this position is $40.39 - $64.23 per hour depending on the candidate’s geographic market location. Non-exempt positions will be paid on an hourly basis and paid overtime in accordance with applicable laws.

The compensation offered for employment will also be dependent on other factors including the candidate’s experience, skills, educational and professional background, and overall qualifications. We offer a comprehensive package of benefits including medical/dental/vision insurance, and 401(k).
