Senior Donor Database Administrator

Salary: $95,000 to $115,000 per year

JOB PURPOSE: The Senior Donor Database Administrator (SDDA) will oversee the administration of the organization’s donor database(s), analyze staff needs of the database(s), and develop a long-term strategy for donor analysis and data storage.

JOB SUMMARY: The Senior Donor Database Administrator will maintain, update, and control the corporate donor database and analyze all informational requirements, develop database specifications, and enforce database standards to ensure the integrity and accuracy of all donor data.  The SDDA will also assist with the strategic planning and data analysis for all donors, board solicitation, and direct mail/email appeals by creating, implementing, and leading a full cycle moves management system beginning with new donor identification to the ongoing stewardship of all existing donors.

ESSENTIAL FUNCTIONS:

Identifies, defines, and assesses the properties and specifications necessary for the donor database management system to meet current and future needs of the organization as they relate to agency-wide development reporting, event registration, and employee engagement and recommends changes and enhancements. Defines a logical donor database structure based on the organizational structure of the company. Creates, develops, maintains, and controls the corporate donor data directory, which will include names, descriptions, sources of data, and keywords needed for categorizing and searching data item descriptions. Develops and implements policies and procedures related to data security and integrity by monitoring and limiting database access on a need-related basis. Ensures integrity of database system by developing, documenting, and enforcing security procedures and access controls for other employees entering data and composes and develops protocols for levels of access necessary to view, print, sort, enter, revise, or delete material. Gathers, organizes, analyzes, and interprets statistical data from the database to provide reports to and answer questions from, various members of organizational leadership and to identify trends and improve service. Collaborates with various departments to identify needs; refines system to maximize multipurpose uses. Maintains knowledge of trends, developments, and best practices in DBMS and related technology. Oversee and facilitate the processing of all donation pledges, including a collection of payments promptly. Partners with Finance staff to reconcile donations between the accounting and donor databases, generating reports and other relevant documentation for financial reconciliation as needed. Reconcile and close monthly development financials following closing schedules. Leads, supervises, and coaches all direct reports to ensure success with identified goals and objectives. Manages employee performance through organizational policies and procedures. Functions as an ambassador and liaison for The Fedcap Group. Contributes to the organization's success by accepting new assignments, helping team members, learning new skills, and striving to improve team results.

QUALIFICATIONS: Job qualifications are stated in the Essential Functions of the job description. An employee must be able to accomplish the Essential Functions to be competent in the job. Other special requirements are noted below.

Education: Bachelor’s degree in Computer Science, Mathematics, or related field preferred; or a combination of equivalent experience and education.

Software Skills: Proficient with Microsoft Office Suite, Blackbaud Raiser’s Edge, Salesforce, and other finance/fundraising tracking software.

Job Experience:

At least three to five years of related experience is required with at least one year of supervisory experience preferred with a successful track record in a large, high-volume, complex, and rapidly changing environment; or an equivalent combination of education, training, and experience. International experience – Canada, EU, and UK a plus.

Knowledge, Skills, & Abilities:

Thorough understanding of file structures and design, information retrieval techniques, file access methods, and database controls and standards. Knowledge of organization policies, and state and federal laws related to fundraising, practices, and strategies. Well-established relationship management skills – demonstrated record of long-term engagement with stakeholders, including employees, business partners, donors, and the community. Works cooperatively with others on a team. Demonstrated achievement in communicating professionally and effectively with organizational leaders. Demonstrated competency in working with competing priorities. Excellent verbal/written communication and presentation skills. Excellent organizational skills and attention to detail. Ability to function well in a high-paced and at times stressful environment. Maintain the highest level of confidentiality, integrity, and ethical practice. Analyze, make decisions, and resolve situations/problems effectively within the scope of responsibilities.
