About the Role:

As the Senior Executive Assistant to the CEO and Chief of Staff of our publicly traded company, you will play a pivotal role in supporting their day-to-day activities, ensuring seamless operations, and enabling the CEO and Chief of Staff to focus on strategic initiatives. Applying your high level of professionalism, discretion, and availability, you will address the CEO’s global business needs and be a key contributor to our executive leadership team, directly impacting and enabling the company's success.

What You’ll be Doing:

Maintain constant availability to address the CEO and Chief of Staff’s needs, including evenings, weekends, and holidays, to ensure their efficient and uninterrupted workflowManage and organize the CEO and Chief of Staff’s complex and dynamic calendars, including scheduling meetings, appointments, and travel arrangements, both domestic and international, while being able to pivot quickly when urgent meetings come up and travel plans changeAct as a gatekeeper for the CEO, screening and prioritizing the CEO’s inbox, emails, phone calls, and messages, ensuring that critical matters are addressed promptlyArrange all travel logistics, including flights, accommodations, ground transportation, and itineraries, with a strong focus on efficiency and detailed communicationHandle sensitive information and maintain the utmost discretion in all interactions, as you will be privy to confidential company matters
Prepare and maintain reports, presentations, and documentation for the CEO's use, ensuring accuracy and completeness, as guided by the Chief of StaffAttend executive-level meetings, take minutes, and follow up on action items, ensuring that decisions and tasks are completed on time
Assist the CEO in various projects, research tasks, and special assignments, providing analytical and administrative supportInterface with internal and external stakeholders, including board members, investors, and clients, on behalf of the CEO and Chief of Staff, maintaining professional relationshipsProactively anticipate and resolve issues, bottlenecks, and challenges to ensure the CEO's objectives are metIdentify opportunities for process improvements, implement best practices, and contribute to the overall efficiency of the executive office

What You Bring to the Role:

Bachelor's degree in business administration, management, or a related field (preferred)5+ years’ experience as an executive assistant or senior administrative role supporting C-level executivesExceptional organizational skills and attention to detailOutstanding written and verbal communication skillsProficiency in Microsoft Office Suite and calendar management toolsAbility to handle high-pressure situations with grace and composureStrong problem-solving and decision-making abilitiesHigh level of integrity, discretion, and professionalismFlexibility and adaptability to accommodate the CEO's 24/7 needsPrevious experience in a publicly traded company is a plusPrevious experience working with and booking private planes a bonus

Compensation & Benefits

The anticipated starting salary range for individuals expressing interest in this position is $80,000-$120,000. This position is eligible to participate in an annual incentive program. Actual compensation offers to a candidate may vary based upon geographic location, work experience, education and/or skill levels.
