Senior Facilities Coordinator

Workplace Coordination:

- Act as the primary point of contact for workplace-related inquiries and requests.

Provide support to the following:

o   Coordinate office seating arrangements, moves, and changes in collaboration with different departments.

o   Assist in planning and executing workplace events and activities, ensuring a positive colleague experience.

Facility Management:

- Monitor and maintain the office facilities, including meeting rooms, common areas, and amenities.

- Conduct regular inspections to ensure a safe and well-maintained workplace.

- Vendor management

Provide support to the following:

o   Coordinate with vendors for facility services such as cleaning, security, and maintenance.

Office Supplies and Inventory:

Provide support to the following:

o   Manage office supplies inventory and ensure timely replenishment.

o   Liaise with vendors to order and restock supplies as needed.

o   Streamline procurement processes for office-related items.

Health and Safety Compliance:

- Risk and HSSE management

Provide support to the following:

o   Assist in implementing and enforcing health and safety protocols in the workplace.

o   Conduct regular safety inspections and address any identified concerns.

o   Act as a point of contact during emergencies, facilitating evacuation procedures.

Event Preparation and Setup:

Provide support to the following:

o   Assist in the planning and coordinating workplace events, including meetings, workshops, and celebrations.

o   Collaborate with various teams to understand event requirements and provide necessary support.

o   Manage the setup and breakdown of event spaces, ensuring a seamless experience for participants.

Communication and Coordination:

- Communicate effectively with colleagues to provide information and updates regarding facility-related matters.

- Work closely with the Facilities Manager to address and resolve workplace issues.

Documentation and Record Keeping:

- Monitor Corrigo workorders and meet the KPI for completion

Provide support to the following:

o   Maintain accurate records related to facility management, including invoices, contracts, and maintenance logs.

o   Ensure that relevant documentation is organized and easily accessible.
