What this opportunity involves:
Leads and directs a team of 10 professional contributor with specific assigned program objectives. Interprets and applies policy and translates goals into programs / Projects.
To provide comprehensive facility, finance, contract and procurement management with a focus on continuous improvement. To achieve financial and other KPIs established by SAP and the regional account director. Delivery of services in accordance with the Service Level Agreements.
Located in Australia, the Workplace Manager is both the operational lead of the Australia and New Zealand portfolio ( 5 sites in AU, 2 sites in NZ)
Main Responsibilities:
Leadership / People Management
Understand client’s key business drivers, focus the team to ensure those priorities are aligned with our deliverablesEnsure the account team is high performingClient/Stakeholder Management
Deliver excellent customer service to meet on-site client’s expectationsEnsure feedback from client sessions is recorded and actioned to the satisfaction of the end user.Procurement & Vendor Management
Manage multiple vendors including hard and soft skills to deliver services on time and within budgetEvaluate the vendor procurement and management practices and ensure renegotiation and tendering, including tender documentation; evaluation of tenders and preparation of contracts is in accordance with agreed client procurement guidelines.Finance Management
Develop the annual operating / capital plan based on the portfolio. Manage and control expenditures within the approved operating plan.Ensure that the site’s financial operations are meeting targets and control requirementsAssist and monitor financial processes to ensure process / procedures are followed at all timesEnsure all spends are tracked and reported in the agreed format periodically.Health & Safety Management
This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules.Site Operations Management
Manage building procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems. Regional consistency will be of importance.Manage a preventive and planned maintenance programme to minimise maintenance, repair and replacement costs together with minimising the risk of plant failure.Ensure consistency of regional policies & procedures with constant updating and that all staff have adequate familiarity with the systems as well as the policies.Assist SAP in implementation of EMS & Sustainability Objectives.Assist FC with the coordination of Churn and other relocation activities.Ensure all Critical environment (CEM) requirements are metRisk Management:
Maintain property risk management program which identifies major risks including occupational health and safety, fire safety and essential services and environmentalManage and review incident and problem reporting including advice to SAP regional manager and insurance company.Reporting:
Ensure that the team delivered meaningful inputs across the region in the development of monthly management reports.Review monthly financial reports including the preparation of accruals and variance analysis with SAP’s regional manager (As required)Training:
Ensure the team is well trained on all facilities policies, procedures and systems. Work closely with the JLL senior account team to devise new and innovate methods of learning built and around skill development, leadership and succession planning.Assign buddies for new team members to ensure team work, consistency & rationalization of the team.What we are looking for:
