Job Title: Senior Facilities Manager - The Netherlands and Poland
Location: Amsterdam, The Netherlands
JLL is seeking an experienced Senior Facilities Manager to manage the Atlassian client workplaces in EMEA- in the Netherlands, and Poland. This role will be responsible for managing all aspects of facilities operations and concierge services, while ensuring exceptional workplace experiences for our clients and employees. The successful candidate will lead a team of 4 direct reports and collaborate with various stakeholders to deliver operational excellence across this region. This leadership position requires strong knowledge and experience across the full spectrum of facilities management with a background in both hard and soft services.
Key Responsibilities:
Facilities Management:
Oversee day-to-day management of all operational and financial aspects of Atlassian’s workplace environments in The Netherlands and Poland, and Turkey as needed.
Ensure compliance with agreed standards, local codes, regulations, JLL and client operational standards.
Conduct regular workplace inspections and manage the implementation of workplace asset replacement/refurbishment works.
Manage third-party vendor relationships and performance evaluations.
Concierge Services:
Oversee the operational implementation of experience focused services on the account, developing programs, tools and processes while integrating the underlying services.
Implement and oversee the Global Concierge Playbook in collaboration with the Global Concierge Lead.
Ensure high-quality guest experiences and efficient front-of-house operations.
Client Relations:
Build a strong leadership relationship with key clients from our clients Workplace team in EMEA. Maintaining a customer centric and solutions focused approach at all times.
Build and maintain strong relationships with all clients, JLL team, and regional counterparts.
Regularly interact with key clients and JLL representatives to ensure service delivery expectations are exceeded. Ensure communication is provided regularly to client stakeholders and team.
Manage complaints and resolve issues related to service provider functions.
Team Leadership:
Lead and manage a team of 4 direct reports, 2 in facilities and 2 in concierge services, providing guidance, coaching, and support.
Conduct annual performance reviews and develop personal development plans for team members.
Oversee recruitment, onboarding, and ongoing development of team members.
Financial Management:
Develop and manage operational budgets for assigned locations, meeting targets as defined in KPIs; and, provide written variance analysis and forecast to the client.
Implement cost-saving initiatives while maintaining service quality.
Prepare and seek approvals for property cost recommendations.
Process Improvement and Innovation:
Continuously review and streamline operational processes to improve efficiency.
Identify and implement innovative programs and best practices to enhance workplace experiences.
Stay informed about industry trends and emerging technologies in facilities management.
Compliance and Safety:
Ensure compliance with all OH&S, environmental, and risk management policies and procedures.
Support the implementation of fire warden / first aid training programs.
Manage the induction and onboarding of contractors/vendors to support safe work practices.
Required Technical Skills (Facilities Management):
Proficiency in facilities management software systems, Corrigo and/or Jira desirable.
Experience with Building Management Systems (BMS) and energy management platforms
Knowledge of HVAC systems and controls
Familiarity with fire safety systems and emergency response protocols
Understanding of access control and security systems
Experience in space planning and management
Knowledge of sustainability and energy efficiency practices
Familiarity with workplace analytics tools for space utilization
Proficiency in financial management and budgeting software for facilities operations
Experience with vendor management and contract administration tools
Knowledge of health and safety regulations and compliance management
Proficiency in data analysis and reporting tools for facilities performance metrics
Understanding of IoT technologies and smart building systems
Familiarity with project management methodologies and tools for facilities-related projects

Required Qualifications:
Bachelor's degree in Facilities Management, Business Administration, or related field.
Minimum 10 years of experience in facilities management and experience with both hard and soft services, with at least 5 years in a senior role.
Proven experience managing multi-site operations and remote teams.
Ability to be 100% on-site.
Strong knowledge of facilities management best practices and technologies.
Excellent leadership, communication, and interpersonal skills.
Fluency in English; Dutch language proficiency is essential, with a minimum requirement of conversational ability.
Proficiency in G-Suite Tools, facilities management software and Atlassian tools a plus.
