Senior Fund Management Specialist - University Advancement

Carnegie Mellon is enjoying its most productive fundraising years in its history, surpassing the initial fundraising goal for its $2 billion Make Possible campaign more than 18 months ahead of schedule. University Advancement (UA) supports the entire CMU community in building relationships with key constituencies and securing the financial resources the university needs to continue its ascent. As the division grows, we are seeking a Senior Fund Management Specialist to join the team. This is an exciting opportunity if you thrive in an interesting and fast-paced work environment.

Reporting to the Executive Director, Gift Administration, this role will support the administration and oversight of institutional commitments and gift funds for both the division and the university. The Fund Management specialist will collaborate extensively with internal partners across the institution, including teams focused on individual giving, planned giving, annual giving, and financial reporting.

Core responsibilities include:

Assisting with the on-going review of the status of pledges and funds in suspense to ensure they are current and actively managed.; working with prospect managers, Financial Reporting, and Donor Relations to ensure accuracy and maintain activity and fund aging reports.

Reviewing undesignated funds and pledges that are past due and working with gift processors and prospect managers to obtain status updates, request accounts, move funds, recommend next steps, and maintain fund activity reports.

Assisting in the management of gift funds including creating new allocations in University Advancement’s database and ensuring that proper documentation has been created or obtained. They will monitor the status of funds to determine if accounting strings need to be requested or updated.

Maintaining University Advancement’s chart of accounts by updating or creating new accounts in collaboration with Finance and business managers, as needed.

Participating in reviews and reconciliations to ensure the accuracy of recorded funds and commitments.

In collaboration with Planned Giving, this role will assist in active management of deferred gifts to the University to ensure accuracy for receivables, utilization and forecasting.

Assisting in the development and execution of an active matching gift program by identifying potential recipients, increasing data viability, acknowledging receipt, promoting the program, and reporting on activity; will work closely with Annual Giving and Donor Relations for consistent messaging and coordination in developing and delivering this new service.

Ability to function successfully in a team environment and collaborate with various groups throughout the university.

Ability to maintain strict confidentiality.

Qualifications:

Associate’s degree required

3-5 years of related experience with word processing, spreadsheets and databases.

Strong proficiency with Microsoft Office applications, especially Excel and Word.
