Senior IT Analyst, PMO (12-month contract)

We are looking for a Senior IT Analyst to join our PMO team. You will relate to project governance and control, project tracking and reporting, project management training, new hire onboarding, and application admin and support.
You will ensure projects are running smoothly on budget, and on time. Additionally, you will collaborate with project team members to gather and analyze project data, prepare status reports, support governance of the Intake process and related project methodologies and tools.
Under the general direction of the Manager, Project Management Office, you will help with the development of end-to-end project management processes, reporting, governance, and project financial control. You will manage and report on the execution of deliverables across multiple priorities and direction. You may also back-up a Project Manager or manage a project independently.
About the Role
Governance and Control – (35%)
Help cultivate a continuous improvement culture in project management, leading the development and implementation of project, program and portfolio controls for schedules, cost and scope, performance measures, and audit/quality assurance.
Manage overall governance of projects to ensure compliance with LCBO’s Project Management Office mandate by conducting audits on all project deliverables to ensure 100% compliance.
Champion changes/modifications to improve project and portfolio management processes and methodologies, communicate changes to impacted partners.
Develop and assess project management templates and recommend improvements to existing templates.
Collaborate with Senior Project Managers to address risks and establish processes to mitigate them.
Ensure all project management requirements are satisfied and appropriate project management methodologies are followed. Verify project team adherence to control and risk implementations.
Project Tracking / Reporting – (35%)
Prepare reports and recommendations relating to work plans, action plans, conducting gap analysis, and conducting presentations to senior management/executives.
Analyze financial plans including period rolling forecasts, latest estimates, baselines, and cost benefit analysis.
Capture project data from Project Online to create portfolio level reports and dashboards for senior management and participate in Senior Executive meetings,
Keep a record of key project artifacts, including Cost-Benefit Analyses, project charters, baseline plans, and change requests. Deliver status reports, data-driven insights, meeting materials, and action items to teams across LCBO.
Manage communications from the PMO mailbox including regular reporting cycle requests.
Project Management Training & Support – (15%)
Organize workshops and training sessions to enhance PMO competencies.
Coach Project Managers on project processes, governance, and project finances.
Provide ongoing support to enhance project management knowledge and awareness on best practices
Develop mechanism for tracking KPIs and improvements based on best practices.
Application Administration and Support – (10%)
Project Online administration of user accounts and profiles.
Maintain Project Online QA and Production environments.
Create and install user and administrative accounts.
Perform monthly patch testing and reporting.
Perform custom configuration and updates to PMO SharePoint sites.
Provide first level support for end-users for project online, time reporting and SharePoint project site issues.
About You
College/University degree required or 3 years relevant experience
3+ years working in project coordination with data analysis or technical analysis experience in Information Technology. Knowledge of techniques for budgeting, project estimation, planning and control are necessary.
Solid experience with Project Management tools, SharePoint, MS office suite including Project, Visio and PowerPoint
Demonstrated experience in managing conflict resolution.
Experience in establishing, building, and maintaining collaborative relationships with various partners for the purpose of meeting the corporate/department objects.
Project Online and JIRA Experience
Technical project management skills, including requirements management and traceability, risk/schedule/scope management, and time, budget, and cost estimation
