Division: Integrated Supply Chain Operation, Japan Distribution

Title: Senior Logistics Specialist II, Logistics Support Function

Report To: Logistics Support Manager

Introduction

The life science-related products handled by we are produced globally and encompass a wide variety of items. We also supply products procured from domestic suppliers to production sites around the world. In the rapidly changing environment, it is essential to strengthen our logistics management system, particularly in import and export operations, to ensure the reliable, safe, and efficient delivery of products and components. To continue implementing optimal approaches to increasingly complex global trade, we are looking to recruit individuals with experience in import/export operations or international transportation arrangements, or those with strengths in customer support or trade compliance. A significant attraction of this role is the opportunity to experience the dynamism and speed of business while directly communicating with business units and internal stakeholders and closely engaging with business strategies as needed.

 

Key Accountabilities

 

1)Import/Export Operations

*Expected to be hired as a future leader in import/export operations

-Schedule management for import/export items and sharing with internal stakeholders (Import: 70% / Export: 30%)

-Collaboration and management with forwarder and customs brokers

-Creation, checking, and schedule management of import/export customs-related documents and overall trade practices

-Providing appropriate customs and delivery instructions to international transporters and customs brokers

-Coordination of delivery schedules with the Distribution Center (DC) and management of incoming schedules

-Monitoring and managing service provider performance based on KPIs

-Management of HS codes, FTA preferential tax treatment application status, and promotion

Creation of hazardous materials transportation documents

 

2)Import/Export Regulatory Affairs

-Confirming with authorities regarding import/export and other regulations as necessary

-Export permit and approval application processes with the METI, Trade and Industry

(Note: Eligibility determination is conducted by a separate internal department)

-Sharing information on legal amendments with team members and internal stakeholders

-Adjusting prices and delivery times with domestic manufacturers for exported procurement items (may be assigned based on experience)

-Daily/weekly/monthly reporting related to the above operations

 

3)Customer Support Operations & Appropriate Communication with Internal and External Stakeholders

-Responding quickly to requests from internal customers and coordinating to resolve customer issues

-Leading coordination with relevant internal departments

-Accurately, precisely, and promptly understanding the needs of others and providing responses by the deadline

-Maintaining and continuing good relationships through daily communication with external service provider

-Providing necessary information in a timely and appropriate manner

-Timely responses to inquiries from partner companies

-Providing appropriate instructions in compliance with import/export regulations

-Communication with internal related departments

-Coordination with internal related departments (Regulated Affairs, CS, Sales, SC, QA, Distribution)

-Responding to inquiries from overseas departments

-Coordination with import/export and logistics personnel in various countries

 

4)Continuous Improvement

-Business improvement (review of business processes, utilization of IT tools, etc.)

-Planning and execution of logistics improvement measures (cost, quality, environment, etc.)

-Participation in global-led projects (depending on experience)

 

Education

-Bachelor’s degree or higher (may vary based on work experience)

 

Qualifications

-Over 5 years of experience in trade operations

-Experience in import/export operations at a shipper or international logistics company (experience in logistics companies only is acceptable)

-Experience in the import/export of chemicals is preferable

-Experience in managing and operating FTA and import/export regulations is particularly welcome

-No resistance to overseas cultures or communication, and no allergy to English

-Experience using SAP or other ERP systems

-Experience in some form of improvement within operations (business improvement, logistics improvement, etc.)

-Ability to work autonomously and proactively

-Not waiting for instructions from superiors but driving operations with initiative

-Actively engaging in new challenges and eager to learn necessary knowledge and skills

-Daily communication skills to build and maintain good relationships with colleagues, related departments, and external partners

-Experience as a team leader, regardless of the organization's size, is welcome

-Japanese: Native / English: Intermediate (TOEIC 650 or higher)

-Candidates without a current TOEIC score but willing to improve their English skills after joining are acceptable

-Must not have resistance to understanding English documents and email communication (essential)

-Holders of trade-related qualifications such as customs broker, trade practical certification, IATA diploma, etc., are welcome

-IT literacy

-MS Office software: Business intermediate level

-Basic functions and Pivot Table skills in Excel are essential

-Willingness to actively learn about the latest IT tools such as Power BI and ChatGPT (as they are being promoted for use in operations)

-Those who can code in addition to using macros and Power BI as a user are particularly welcome

-Primary Work Location:

*Azabudai Hills Headquarters (Nearest stations: Kamiyacho, Roppongi 1-chome)

*Possible to work in a pattern that combines remote work (1-2 days remote work per week)

-Business Travel: As needed (approximately once a month for trips to our DC in Chiba Prefecture and Kanagawa Prefecture)

取り扱っているライフサイエンス関連商品は、世界各地で生産されておりその商品数は多種多様となります。また国内サプライヤーから調達した商品を、世界各地の生産拠点に供給しています。目まぐるしく環境が変化する中、確実に、安全に、効率良く、製品や部品を届けるために、ロジスティクス体制の、とりわけ輸出入業務の強化が必要となっています。より複雑化しているGlobal Tradeに対しての最適アプローチを継続実施するため、輸出入業務や国際輸送手配の経験者、もしくはカスタマーサポートやTrade Complianceの領域に強みのある方を新たに募集いたします。事業部門や社内のステークホルダーと直接コミュニケーションをとりながら、そして必要に応じて事業戦略に密接に関わりながら業務を進めるビジネスのダイナミズムやスピード感をより実感できることが大きな魅力です。

 

Key Accountabilities

 

輸出入オペレーション将来的な輸出入オペレーションのリーダー候補としての採用を想定輸出入品のスケジュール管理、社内関係者への共有（輸入:70%/輸出30%）国際輸送業者、通関業者との協業、マネージメント輸出入通関関連書類の作成、チェック、スケジュール管理等の貿易実務全般国際輸送業者、通関業者への適切な通関・輸送指示ディストリビューションセンター（DC）との配送日程調整/入荷スケジュールの管理ＫＰＩに基づいた輸送業者パフォーマンスのモニター/管理HSコード管理、FTA優遇税制適用状況管理、推進危険物輸送書類の作成輸出入法令関連業務輸出入他法令について、必要に応じて行政へ確認経済産業省への輸出許可・承認申請業務

（※該否判定は社内別部門で実施）

チーム内、社内関係者への法改定情報等の共有輸出調達品に関する国内メーカーとの価格、納期調整、折衝（ご経験に応じて担当頂く可能性有）上記各業務に関連した、デイリー/ウィクリー/マンスリーのレポーティングカスタマーサポート業務＆社内外関係者との適切なコミュニケーション内部カスタマーの要望に迅速に対応/お客様課題を共に解決するためのコーディネート全般社内関連部署とのコーディネーションをリード相手のニーズを的確に、正確に、迅速に把握し、納期までに回答協力会社との日々のコミュニケーションを通じた良好な関係の維持、継続必要な情報をタイムリー且つ適切に提供協力会社からの問い合わせに対するタイムリーな回答輸出入関連法令を遵守した適切な指示社内関連部門とのコミュニケーション社内関係部門（Regulated Affairs, CS, Sales, SC, QA, Distribution）調整海外担当部門からの問い合わせ対応各国の輸出入、ロジスティクス担当者との調整

貿易業務経験 5年以上荷主若しくは国際物流事業会社での輸出入業務経験（物流事業会社のみの経験も可）化学品の輸出入経験があれば尚可FTAや輸出入法令の管理、運用経験者は特に歓迎海外文化や海外とのやりとりに抵抗感がない方、英語へのアレルギーがない方SAPやその他ERPの使用経験業務の中で何らかの改善経験を有する方（業務改善、物流改善等）

 

Competencies & Skills
