Our Financial client is looking for Senior Administrative Assistant in Wayne, PA who will will support multiple members of Client’s U.S. Leadership Team. Description: The ideal candidate will have broad knowledge about general administrative responsibilities, exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires discretion, strong problem-solving abilities, a proactive approach to anticipating the needs of senior executives, and working autonomously. Day to day: Executive Support. Provide comprehensive administrative support to multiple members of the U.S. Leadership Team (LT) and some members of their respective departments, including, for example, calendar support, travel arrangements, and expense report processing. Meeting Coordination. Prepare and distribute agendas and slides for townhalls and other team meetings, attend meetings to take minutes, and follow up on action items to ensure timely completion. Communication. Prepare drafts of internal communications and act as a liaison between members of the U.S. LT and internal/external stakeholders. Project Coordination. Assist with special projects and initiatives, including research and data analysis, and preparation of presentations and reports. Documentation. Maintain confidential files and records, ensuring all documentation is organized and easily accessible. Event Planning. Coordinate and manage logistics for executive events, meetings, and conferences. Budget Management. Assist in monitoring and managing department budgets, including processing invoice and expense reports. Process Improvement. Identify and implement improvements to administrative processes and workflows to enhance efficiency and effectiveness. Other. Other administrative support duties as assigned. Essentials: High school diploma required; Bachelor’s degree in Business Administration, Management, or a related field preferred. Minimum of 3 to 5 years of experience in an executive assistant or senior administrative role, preferably supporting C-suite executives. Proficiency in Microsoft Office Suite. Detail-Oriented. Ability to manage multiple tasks and priorities with a high degree of accuracy and attention to detail. Professional. Outstanding communication skills and discretion and confidentiality in handling sensitive information. Proactive. Strong problem-solving skills and a proactive approach. Adaptable. Ability to work independently and as part of a team. Organized. Well organized with a skill in time management. Reliable. Demonstrates dependability and a strong work ethic.
