As a Senior Office Executive in the Site Services department, you will serve as the primary contact for business travel administration, supporting employees at all levels, including higher management, with travel arrangements. Your role also includes assisting with event organization, handling office-related orders, managing petty cash, and overseeing the car fleet. Additionally, you will act as the main back-up for GM Support and handle telephone and email inquiries.
The Opportunity:
Administering and managing business travel arrangements, including hotel reservations, bookings, and complex arrangements for all RSS Operations employees, especially higher management.
Providing end-to-end organization and management of corporate events, including large-scale and all-staff events.
Overseeing car fleet management, operational support, and maintaining contact with suppliers related to the site's daily operations (cleaning, security, catering).
Managing incoming calls, email inquiries, and telephone inquiries, redirecting them to appropriate Directors or Managers when necessary.
Assisting the leadership team with personal administrative support and handling various office-related orders.
Supporting purchasing processes, including PO creation, vendor registration, contract uploading, and managing vendor relationships.
Ensuring the smooth operation of daily office activities, including providing office supplies, arranging catering, fulfilling errands, and managing couriers, mail distribution, and guest reception.
Acting as a back-up for GM Support and supervising the team in the absence of the Office Administration Team Lead.
Who you are:
Minimum 3 years of experience in office administration, event management, supplier coordination, and high-level stakeholder management.
Experience in corporate event management gained at a multinational company
Service-oriented with a strong team player mentality.
Precise, focused, and accountable in all tasks.
High level of organizational and logistical skills.
Ability to multitask effectively in a fast-paced environment.
Excellent overall communication and interpersonal skills.
Proficiency in English, additional languages are a plus.
