Senior On-Site Service Specialist

POSITION PROFILE

The Senior On-Site Service Specialist provides operations functions in various areas, including high-volume duplicating, production, sorting, mailing, bindery, copier maintenance, and equipment repair. This role also handles the shipping and receiving of products and supplies, sorting and distributing mail/faxes, and applying necessary postage. Additional duties may include housekeeping, file services, reception, and light building maintenance. Due to the higher level of presentation and telephone skills required, this position is considered senior-level within on-site services. The role reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager.

Job Duties and Responsibilities

Operate high-volume/production copy machines and perform binding and finishing work. Perform daily inspections on convenience copiers, ensuring they are working properly. Clear paper jams and report specific problems to technicians. Perform basic troubleshooting of equipment and escalate issues to technicians as needed. Set up equipment as prescribed by the customer (e.g., add toner, stock paper). Perform scanning and/or imaging tasks for documents. Temporarily or occasionally perform reception services. Maintain records for management reports and inventory of supplies. Distribute office supplies, fax transmissions, and mail to company personnel or designated drop-off points. Calculate charges for jobs performed, maintain logs, and generate reports. Respond to and coordinate all service calls requested by the customer. Perform filing duties related to customer requests. Deliver completed jobs to pre-determined customer locations, both within and outside the site. Maintain daily meter and service logs. Travel between customer buildings as necessary. Address customer inquiries regarding job requests or status. Ensure convenience copier areas are well-maintained, organized, and stocked. Perform shipping and receiving duties for materials. Set up meeting and conference rooms as required. Assist with light building maintenance and occupant moves within assigned facilities. Occasionally perform shipping, receiving, and dock work in a mailroom environment. May require periodic overtime, including off-hour emergency response. Operate various bindery and finishing equipment such as shrink-wrap machines, paper cutters, hole drills, and staplers. Use copier equipment, calculators, fax machines, postage meters, and basic PC functions. Perform filing duties, including document purging and archiving. Understand and apply Ricoh Services Portfolio and Technology. Ensure data for Ricoh MOR, SPG, and job logs are accurately captured. Perform other duties as assigned.

Qualifications (Education, Experience, and Certifications)

High school diploma or GED, with 1-2 years of related work experience. Experience in related copy job functions is preferred. May require a valid driver's license and minimum auto insurance coverage as per Ricoh standards. Proficiency in basic computer skills, including MS Office Suite.

Knowledge, Skills, and Abilities

Working knowledge of copiers and related equipment, with repair experience preferred. Knowledge and understanding of shipping/receiving procedures. Basic electronics knowledge is preferred. Ability to work independently and flexibly to complete tasks. Strong ability to select appropriate packing materials and verify packing slips for accuracy. Ability to follow instructions regarding mail delivery. Strong troubleshooting and problem-solving skills. Ability to read and comprehend technical manuals, parts books, and related publications. Excellent customer relations and verbal communication skills.

Working Conditions and Physical/Mental Demands

Frequent exposure to copier/fax machine noise, toner, and varying room temperatures. Potential for paper cuts from handling paper and opening boxes. Exposure to various weather conditions when walking between buildings. High stress levels due to tight deadlines and quick turnaround times. Physical requirements include standing, walking, bending, reaching, stretching, and lifting or moving items up to 50 lbs. May involve pushing or pulling machines weighing up to 400 lbs. for repairs. Occasional walking between buildings as necessary.
